SOURCING AND VENDOR MANAGER (CONTRACTS & SLA)

Purpose of the role:
To perform Sourcing and Vendor Management activities for the IT department.
Requirements:
- Bachelor of Commerce Degree in IT or Business Administration
- Business Relationship Management
- Certificate in IT Service Level management ISO 20000, ITIL Practitioner or similar qualification
- At least 7 years in Vendor Management and 5 years’ experience in IT
- Relevant understanding of Service Level Management and /or ITIL processes.
Duties:
Procurement and Demand Planning: Develop and implement annual demand and procurement plans for the IT Department, ensuring alignment with actual departmental needs and adherence to PIC procurement policies.
Vendor Evaluation and Appointment: Facilitate the evaluation and appointment of IT vendors by coordinating requirements gathering, conducting cost negotiations, and ensuring all IT Governance standards are met in the procurement process.
Contract Management and Risk Mitigation: Manage the full contract life cycle, ensuring all contracts contain clauses that mitigate organisational risks and are reviewed and signed off according to policy.
SLA Compliance Monitoring: Monitor, analyse, and report on vendor compliance with Service Level Agreements (SLAs) on a monthly basis, achieving the required level of compliance across all IT vendors.
Service Strategy Alignment: Facilitate regular service strategy and roadmap reviews with vendors and internal stakeholders to ensure continued alignment with IT and organisational strategies.
Ensure Vendors maintain a level of compliance for IT services
Vendor Due Diligence and Compliance: Facilitate and participate in comprehensive due diligence on all vendors, covering financial, IT governance, information security, disaster recovery, and business continuity assessments, and document action plans for any identified deficiencies.
Support for Mergers and Acquisitions: Assess and report on the IT impact of potential mergers and acquisitions, providing strategic recommendations within agreed timelines.
Vendor Relationship and Customer Satisfaction: Develop and implement a customer satisfaction programme for IT vendors, with at least one improvement initiative identified and actioned per year based on feedback.
Escalation and Issue Resolution: Lead and resolve vendor-related escalations in collaboration with service owners, ensuring resolution within defined SLA periods.
Vendor Financial Oversight: Monitor and report on IT vendor expenditure, ensuring that annual IT vendor spend does not exceed the approved IT budget, with a target of achieving cost savings year-on-year through effective negotiation, cost optimisation initiatives, and contract management.

- Competency Development: Training and assessment against the SAICA CA 2025 Competency Framework, covering Technical, Professional, and Enabling competencies.
- Compliance: Adherence to SAICA Training Regulations throughout the duration of the programme.
This structured process ensures that all trainees acquire the depth and breadth of experience required to qualify as a CA(SA)).

Purpose of the role:
Responsible for providing customer technical support services to the staff in the PIC.
Requirements:
- Bachelor Degree in Computer Science, IT, IS Oor equivalent
- ITIL certified (V3 or V4 only)
- Microsoft IT Professional Certification or equivalent such as Modern Desktop Administrator.
- 2 - 5 years relevant IT experience
- Microsoft Cloud Certification, such as Microsoft Azure Fundamentals or Administrator, is an added advantage.
- Active Directory Administration
- End Point Security experience, e.g., Microsoft Defender
- Knowledge of Microsoft Office 365/ M365, Intune
- Knowledge of Service Management Tools

Duties:
- Technical Customer Support: by providing Adequate response time, provision of quality support, and incident and problem resolution agreed with the customer and in line with ITIL practices and approved internal IT Standard Operating Procedures and Policies.
- Provide technical digital computer and mobile service support in the use of collaboration / conferencing tools such as Microsoft Teams to Board and Executive Management
- Handle all logged calls accurately and timeously in line with the applicable Service Level Agreement and report back to the IT End User.
- Conduct troubleshooting on all queries allocated on the Service Management tool and identify, diagnose, and resolve problems in Desktop Support Area.
- Work on Incidents, Requests, Problems, Changes, and Releases to be able to provide an efficient service to their IT End User as defined in the Service Catalogue and Service Level Agreements.
- Prepare, install, and configure/upgrade Software and Hardware on End User Work Devices.
- Engage with Vendors / Service Providers and or Original Equipment manufacturers (OEMs) of workstations and printers for hardware repairs and procurement of computer hardware and software.
- Implement continuous technical improvement initiatives including technology refresh of End User equipment.
- Report on escalated incidents and problem investigations to the direct Manager.
- Produce statistics and management reports on service performance and recommendations.
- Perform computer housekeeping tasks as it relates to workstations and printers.
- Perform the system administration activities of Digital Support systems (i.e., server management, disaster recovery for area of digital engineering).
- Ensure up-to-date Configuration items (CI) and its statuses through the CI lifecycle in area of digital engineering
- Contribute to computer technology standards, technology specifications and adherence to the standards.
- Manage and perform the asset lifecycle from cradle to grave that is to Plan, Request, procure (initiate and evaluate request for quotations), Receive and register and barcode, Deploy/Allocate/Move, retire and dispose IT Assets, Control inventory, Keep the IT Asset Register up to date, perform periodic IT Asset verification / auditing and IT Asset Reporting including the reporting of stolen IT computers.
- Manage and perform Mobile Devices lifecycle from cradle to grave that is to Plan, Request, Procure, Receive, Deploy/Allocate, upgrade of cellular devices; Deal with queries and request such as lost devices, insurance activation and claims, increase cellular expenditure; Perform maintenance on user accounts, invoicing, etc.
