COMPLAINTS AND CONCILIATIONS SUPERVISOR

KEY DELIVERABLES
The Complaints and Conciliations Supervisor within the organisation is to serve as an instrumental component of the day-to-day activities within the claims department. Primary functions include: coordinating, directing and overseeing claims activities of a team as well as key accounts including leadership, support and coaching to ensure compliance of regulatory and statutory requirements as well as technical and customer service best practice.
The Individual will primarily be responsible for, but not limited to the following:
• Evaluate all new claims and administer all data integrity and monitoring claims that have a potential of expensing from the fund.
• Monitoring complaints, conciliations and remedial to work towards reducing their numbers.
• Provide support to ensure that operational processes and procedures are managed correctly.
• Review the investigative report, in order to determine the validity of the claim.
• Ensure documents are reviewed for accuracy and completeness.
• Manage the investigation, evaluation and settlement of claims, applying technical knowledge and human relationship skills to effect fair and prompt finalisation of claims.
• Account for ensuring the rectification of homes are delivered in a viable, timely manner, within scope, comply with health and safety, and are to a high standard and to the consumer’s satisfaction.
• Liaise with contractors, consultants, service providers and suppliers, regulatory agencies to resolve issues, interpret documents, specifications and schedule work.
• Coordinate supervision and assessment of the agreed work by staff and/or contractors is completed satisfactorily and follow up on any deficiencies.
• Monitor and manage SLA’s as well as service providers.
• Provide feedback on the performance of the service provider.
• Perform regular quarterly audits on all local offices.
• Establish and implement departmental policies, objectives, performance management and procedure.
• Manage and maintain a cost effective risk management system to minimize claims against the fund by adhering to the Act.
• Ensure compliance with complaints and conciliation policy and procedures.
• Accountable for the supervision and successful delivery of complex residential property claims.
• Record daily, weekly, monthly statistics and any additional reports required.
• Convene sectional meetings for reviews and updates.
• Analyse all claims to ensure optimal quality and prepare reports for various business units and monitor all expenses and provide report.
• Monitor effectiveness of all programs, provide support to all open claim file review, and manage all payments cycle to ensure compliance to all requirements.
• Confirm and facilitate retention monies, collection and refunds.
• Assists in the development and supervision of budgets.
• Review of business travel reimbursements.
• Review of progress payments certificate.
• Initiate and facilitate with legal the process of recoveries of disbursed fees for remedial work/ settlements.
MINIMUM REQUIREMENTS:
• Must hold an appropriate bachelor’s degree in (NQF 7) in Business Admin, Construction or related fields such as Project Management
• Minimum of five (5) years’ work experience in customer complaints, customer services or similar role
• Minimum three (3) years in a supervisory role
APPOINTMENT
The above-mentioned position will be offered on a permanent basis contract with a Total Cost To Company package.

TECHNICAL PROJECT COORDINATOR
CONTRACT TYPE : PERMANENT

REPORTING TO : PROVINCIAL MANAGER
LOCATION : CENTRAL OFFICE, SUNNINGHILL JHB
KEY DELIVERABLES
The Technical Project Coordinator within the organisation serves to coordinate and supervise the implementation of projects as per the Department of Human Settlements annual business plans.
The Individual will primarily be responsible for, but not limited to the following:
• Lead, manage and monitor the process of developing and implementing NHBRC strategic plans, review and monitor annual business plans and where appropriate implement corrective actions to realize.
• Participate in strategic planning sessions with the Provincial and National DoHS
• Advise the DoHS on the prioritization of projects for implementation in line with their business plans.
• Project submission and documentation review.
• Provide a supervisory role on the enrolment documentation required from the DoHS.
• Validation of home builder/ implementing agents’ registration status with NHBRC.
• Monitor the implementation of the annual plan and budget by attending Housing Forum meetings with relevant Stakeholders at Municipalities.
• Receive, assess and escalate enrolment documents to Engineer.
• Compile letter indicating rejecting or approval from the Engineer and escalate to PIC.
• Escalate Approved Home Enrolment to PIC for creating/ capturing stand list for Inspectorate.
• Generate and issue letters of approval to DoHS or Municipality.
• Compile reports on project outcome to the Provincial Manager.
• Attend and coordinate site meetings with relevant Stakeholders.
• Ensure the enrolment of all government funded programmes are incorporated in mandatory reports to all relevant Stakeholders.
• Attend site Stakeholder meetings and verification of the status of the project.
• Conduct stakeholder meetings for validation and assessment of housing consumer and stakeholder complaints.
• Attend close up meetings for issuing of FURS on completed projects.
• Ensure the completeness and correctness of documents for enrolment in line with approved compliance checklist.
• Provide feedback with regards to incomplete documentation.
• Compile mandatory compliance subsidy statistical reports and submit to the Provincial Manager.
• Assist the Stakeholders (DoHS, DPW, Municipalities) in inducting newly appointed contractors on NHBRC requirements and compliance.
• Compile Final Unit Report on issued FUR for enrolled projects. Check for the correctness and completeness of the documentation for subsidy applications.
• Generate invoice for Project Enrolments (Phase 1).
• Generate invoice for Home Enrolments (Phase 2).
• Generate invoice for Home Enrolments (Consolidation).
• Make follow up on payments invoices to the Department of Human Settlements as per Project and Home Enrolment.
• Allocate payments received with the correct service order/ invoice number.
• Respond to customer inquiries through phone calls and emails; ensure appropriate assistance in compliance with NHBRC policies and procedures.
• Keep Provincial Manager and Stakeholders informed with applicable changes.
• Facilitate training and conduct awareness sessions on the NHBRC products and services.
• Liaise with internal and external Stakeholders.
• Attend to subsidy complaints received from Stakeholders (DoHS, Municipalities, Implementing Agents).
MINIMUM REQUIREMENTS:
• Matric/Grade 12 Certificate.
• Minimum of a National Diploma (NQF6) in Built environment.
• Minimum of five (5) years’ work experience in construction, supervision and project management.
