- Administration, in relation to artisan and non-artisans learnerships.
- Learner Enrolment in the OHS, FLC and AET and Artisan Aides, RPL and ARPL projects.
- Receive, evaluate and register learning programmes agreements for artisan and non-artisans learnerships.
- Scanning and uploading of agreements on SIMS (the MQA’s Management Information System).
- Providing customer service to internal and external stakeholders in accordance with the MQA’s customer service standards.
- Organising events including meetings and workshops for the Learning Programmes Unit.
- Liaising and maintaining relationships with various MQA stakeholders.
- Assisting with travel arrangement for the Learning Programmes Unit.
- Filing and document control.
- Performing any other tasks delegated by the Senior Learning Programmes Manager Operations and the Learning Programmes Managers in the Operations Unit.
Minimum Requirements
- A grade 12 or Matric certificate.
- National Diploma preferably in the Human Resources Development/Management, Public Administration/Management/ Training at NQF Level 6
- A Bachelor’s degree or an equivalent (NQF Level 7 qualification in the above-mentioned fields) will be an added advantage.

- Assist with the preparations for internal and external audits of the MQA`s ISO Quality Management system.

- Administration of Grants in relation to the Mine Community; Unemployed Youth Development and TVET & CET Support Programmes. Verify grants applications forms. Register non-funded learners. Scan and file learner enrolment forms for the non- funded learners. Check accuracy of learner information on the system
- Assistance in Contract Management: Administer youth development, mine community and TVETS agreements/ contracts according to MQA procedures. Follow up on Approval contracts. Scanning and filing the contracts
- General Administration: File and retrieve documents and records in relation to the project. Make travel, accommodation, catering and document arrangements for the Mine Community meetings, workshops and roadshows. Update the status of projects on Excel spreadsheet on a regular basis. Provide administration support to the registration of learners in the project/s.
- Implementation of Quality Management System: Maintain the Mine Community; Youth Development and TVET/CET Support records according to ISO standards.
- Develop and maintain stakeholder / customer relationships: Provide guidance and clarity to stakeholders and training providers regarding invoices and calculation of grants. Respond to all client visits and/ or other queries relating to learning programmes. Proactively identify customer needs and opportunities.
- Participate in Career Guidance events. Attend all career guidance events that the MQA is participating. Ensure availability of exhibition materials, prepare attendance registers etc.
Minimum Requirements
- A National Senior Certificate (NSC) or National Certificate: Vocational (NCV) (NQF 4)
- A National Diploma (NQF 6) preferably in Human Resources Development/Human Resources Management/ Business Administration/Social Science/ Public Relations/Communication or equivalent.
- A Bachelor’s degree (NQF 7) in the above-mentioned field or equivalent will be an added advantage.

- Communication Management: Assist in drafting, proofreading, and editing correspondence, reports, presentations, and other documents. Maintain confidentiality and professionalism in all communications.
- Documentation and Record Management: Organize and maintain physical and electronic files, ensuring easy retrieval and confidentiality of sensitive information. Assist in maintaining accurate records of meetings, decisions, and actions.
- Liaison and Coordination: Serve as a point of contact between the CEO’s office and internal and external stakeholders. Facilitate communication and coordinate activities to ensure timely responses and follow-up on action items.
- Research and Analysis: Conduct research on various topics as assigned, compile findings into comprehensive reports, and present insights and recommendations as needed to support decision-making processes.
- Event Support: Assist in the planning, coordination, and execution of special events, conferences, and meetings hosted or attended. Provide logistical support and ensure smooth event operations.
- Administrative Support: Undertake general administrative tasks, including answering phones, managing office supplies, processing expenses, and other duties as assigned to support the efficient functioning of the CEO’s office.
- Administrative support to the Board: Develop the board pack guidelines with inputs from the CEO and implement. Compile the board pack in accordance with guidelines, determine the scope of information to be covered as per request.

Knowledge Hub Support
- Assist in the organisation and publishing of institutional documents, reports, and multimedia content on the Knowledge Hub.
- Support user engagement and interface improvement initiatives.
- Help maintain version control, tagging, and metadata standards for uploaded knowledge assets.
- Assist in the development of infographics, visual summaries, and dashboards that communicate complex data in user-friendly formats.
- Collaborate with content owners to design visuals that support awareness campaigns, training, and strategic reports.
- Contribute to collecting and organising data for internal insights (e.g., trends from monitoring reports, project performance).
- Assist with the development of basic dashboards, data cleaning, and information summaries for use in strategic decision-making.
- Conduct desktop research and help synthesise content for internal reports and strategic knowledge products.
- Assist with the classification, digital filing, and retrieval of documents within the EDRMS or related systems.
- Support efforts to align with NARSSA and SANS ISO 16175-2 standards.
- Take part in team planning sessions, knowledge-sharing meetings, and documentation exercises.
- Provide general administrative support to the Knowledge Management Unit.
Required Qualifications:

- Space Planning and Asset Management: Assist with office layout planning and space allocation asset registers.
- Health and Safety Assistance: Support coordination of OHS programmes; help maintain OHS logs and checklists.

- Boardroom Management: Schedule bookings and ensure room readiness.
