COMMITTEE ADMINISTRATOR (MINING INDUSTRY TB AND HIV/AIDS ADVISORY COMMITTEE (MITHAC) AND MINING OCCUPATIONAL HEALTH ADVISORY COMMITTEE (MOHAC)

MAXIMUM PACKAGE: NEGOTIABLE
The incumbent will be reporting to the Programme Manager


Purpose
Render secretarial and administrative services to the Occupational Health Programme Manager, Committees and subcommittees or task teams as per the MHSA and the PFMA and as may be reasonably requested by Occupational Health Programme Manager from time to time. The core activities entail the planning, co-ordination and implementation of work priorities, schedules and procedures relating to the Committee and ensuring that correct procedures are followed at all times.
 
Minimum requirements
To be considered for this role you must have:
  • Min Education:
    -Matric Certificate
    -At least a Secretarial Certificate
  • Min Experience: At least 3 years’ experience in secretariat services including minute taking and organizational skills.
 
Key performance areas
The successful candidate will be responsible for, but not limited to the following:
  • Set up Agenda for meetings
  • Prepare meeting documentation for all scheduled meetings and take minutes
  • Send out notice of meetings in advance and maintain the annual meeting schedule of all MHSC Committees meetings to ensure there is no double booking of members.
  • Communicate with the Occupational Health Programme Manager and the Chairperson on the development of the agenda for the meetings.
  • Assist in development of circulars and upon receipt from the Occupational Programme Manager and further compile meeting documentation for all scheduled meetings for distribution to members.
  • Ensure circulars for the meetings are correctly numbered and distributed 7 days before the meeting, wherever possible by electronic means.
  • Ensure all logistical arrangements for the meeting, such as travel arrangements for committee members, catering and refreshments, and projector if needed are taken care of before the meeting.
  • Where applicable, arrangements may extend to travel and accommodation co-ordination for committee members to attend MHSC related events such as workshops
  • Take accurate minutes of the proceedings at all MITHAC and MOHAC meetings and their sub committees or at other meetings as can be reasonably requested by the Occupational Health Programme Manager.
  • Develop clear action items or matters arising for distribution to members within 14 working days after the meeting.
  • Safe keeping of signed minutes both in hardcopy and electronic format.
  • Co-ordinate the arrangements of events including workshops of MOHAC, MITHAC, subcommittees and/or Task Teams.
  • Provide administration support for ad-hoc committee meetings and to the Occupational Health Programme Manager when requested.
  • Circulate reports and documentation to Committee members as and when required.

INFORMATION COMMUNICATION TECHNOLOGY (ICT) MANAGER X1

Purpose:
The incumbent will be responsible for ICT Governance, Management of all ICT related services, operations and ICT equipment, ensuring availability and optimisation of ICT services and infrastructure and ICT business continuity.
 
Minimum requirements:
  • Computer Science degree or equivalent
  • MCSE certification
  • Web Design
  • 7-8 years ICT management experience, including web design, Microsoft networking and other Microsoft products
 
Key performance areas:
The successful candidate will be responsible for, but not limited to the following:
  • Manage Information Technology Governance Framework
  • Manage resources by optimising knowledge and ICT infrastructure
  • Prepare ICT reports for the board/Council and relevant committee of Council
  • Ensure the safeguarding of ICT assets
  • Manage and maintain disaster recovery measures and to ensure business continuity of Council operations
  • Align ICT objectives to MHSC strategic objectives and initiatives to ensure sustainability, effectiveness, and efficiency of Council operations
  • Develop and maintain up to date ICT policies in accordance with legislative and ICT governance requirements
  • Manage ICT Service Level Agreements and contracts
  • Ensure effective and efficient ICT risk management
  • Ensure smooth running of all ICT systems
  • Prepare divisional budget and monitor spending appropriately
  • Performance Management and development of ICT staff
