PA TO THE CHIEF RESEARCH OPERATIONS OFFICER (FOUR-MONTH CONTRACT)
 
The Council seeks to make the following appointments:
 
PA TO THE CHIEF RESEARCH OPERATIONS OFFICER (Four-month contract)
(Ref: PA/19/07/2018)
MAXIMUM ANNUAL PACKAGE: NEGOTIABLE
The incumbent will report to THE CHIEF RESEARCH OPERATIONS OFFICER
Purpose:The Purpose of this position is to provide efficient, confidential assistance and administration support to the office of the THE CHIEF RESEARCH OPERATIONS OFFICER (CROO)
 
 
Minimum requirements:
  • Matric or equivalent
  • Relevant Diploma
  • Extensive experience in calendar management, travel arrangements and customer service
  • At least 4 years as a Personal Assistant at an Executive level
  • Microsoft Office suite at an advanced level in order to assist with preparation of power presentations, typing and consolidation of monthly, quarterly and year end draft reports
  • Planning and organizing skills are essential
  • Administration experience in relation to record keeping, filing and speedy retrieval of  office correspondence is essential
 
Key performance areas:
The successful candidate will be responsible for, but not limited to the following:
  • Providing full administrative support to Office of the CROO.
  • Document control and facilitation for Internal and External Auditors.
  • Coordinate and obtain daily, weekly and monthly inputs from CROO’s direct reports and consolidate for the CROO’s review
  • Coordinate weekly and quarterly outputs into a calendar plan for CROO’s early warning and action.
  • Maintain CROO’s and MHSC’s diary of meetings and ensures that the manager is alerted three weeks in advance and keep a tracking reminder.
  • Filling of correspondence in the CROO’s office in order to ensure speedy referral and action
  • Maintain a task list of requests into the CROO.’s office and requests made by the CROO and ensuring that these are brought to the attention of people who have to action them and keep the tracking list for actions.
  • Screening of incoming calls and notifying the CROO on time and ensuring that call backs are made to clients who were promised to be called back.
  • Type draft monthly, quarterly and annual management reports for the CROO’s review.
  • Prepare power point presentation on information supplied by the CROO.
  • Provide administrative support at an Executive level by freeing CFO’s time by handling other tasks.
  • Assist in monitoring and tracking of CROO’s budgets
  • Requisition of stationery for the CROO’s office
  • Handle travel plans of the CROO and liaise with SCM in relation to all travel arrangements and prepare an itinerary for the CROO.’s attention.
