ADMINISTRATOR: CHAMBERS SUPPORT (B5) 
Reference Number: ACS/HO/26/06/24 
Salary Level (Min. to Mid): R291 171– R344 634 pa 
FIXED-TERM CONTRACT 12 MONTHS HEAD OFFICE 
 
Purpose: The position is responsible to establish an environment that encourages collaboration, effective governance, and knowledge sharing among Chambers and provide administration support to Chamber Committees, while ensuring compliance with merSETA policies and fostering strong partnerships with external stakeholders. 
 
Key Accountabilities and Responsibilities 
The ideal candidate should be able to fulfil and perform the following key accountabilities and responsibilities: 
  • Establish positive relationships with stakeholders, aligning them with the Chamber's Terms of Reference and its skills development mandate as outlined in the merSETA Annual Performance Plan 
  • Foster a supportive environment enabling Chambers to actively participate in skills development within their sectors through collaborative efforts with relevant parties 
  • Conduct orientation sessions for new Chamber members, disseminating information on knowledge development opportunities and resources across Chambers 
  • Ensure meetings adhere to the annual schedule 
  • Process requisitions for necessary data for online meeting connectivity 
  • Process travel and accommodation requisitions for delegates to attend in-person meetings 
  • Keep up-to-date meeting records of Chamber Committee meetings 
  • Ensure sound, effective, and efficient administration of all records and information and enable easy accessibility and ensure accuracy and comprehensiveness of information 
  • Administer the budget, including re-allocations, and handle invoices against set Chambers budget 
  • Share information regarding merSETA products and services and events to Committee Members and stakeholders 
  • Provide input into the Chamber Unit budgets' funding commitments and disbursement rates
  • Identify and record active Chamber research and/or innovation project risks 
  • Provide outcome of unit related projects for all audit related measures 
  • Process Unit Commitment Schedules, ensuring payments align with the Memorandum of Agreement (MoA) 
 
Qualifications, Experience, Knowledge and Skills 
  • Relevant NQF level 6 qualification in Business Administration, Public Administration, or a related field 
  • NQF Level 7 qualification or higher in Business Administration, Public Administration, or Company Secretariat, or a related field is advantageous 
  • A minimum of 2 years’ experience in an administrative or office support role in a SETA environment 
  • 3 years or more experience in an administrative or office support role in a SETA environment is advantageous

FIXED-TERM CONTRACT ALIGNED TO THE SETA LICENCE TERM
HEAD OFFICE
 
Purpose: The position is responsible for ensuring that MerSETA employees are informed and aware by disseminating all organisation information to internal staff through several channels, such as a staff intranet, email bulletins, social media, and regular newsletters. Other administrative duties, such as budget monitoring, advertising, promotional material, events, and branding, will be supported by this function.
 
Key Accountabilities and Responsibilities
The ideal candidate should be able to fulfil and perform the following key accountabilities and responsibilities:
• Implement and use appropriate communication methods, tools, and materials to effectively communicate organisational initiatives and projects with internal stakeholders
• Disseminate all organisation information to internal staff according to policies and procedures
• Update of digital notice boards such as desk alerts, TV screens with relevant information to display internal communications
• Coordinate all internal events, wellness, yearend functions and other commemorate days according to instructions
• Draft RFQ’s for review and approval by the Specialist and Manager ensuring adherence to SCM policies and procedures
• Responsible to carry out the entire PO process ensuring compliance to policies and procedures
• Monitor unit budget for any discrepancies and do budget reallocation
• Liaise and negotiate with suppliers and service providers on pricing and services for internal communications that are outsourced
• Liaise with external events management companies for the planning and execution of all external events and internal campaigns
• Assist with Administrator: Multimedia and Social Media to develop content for events to be shared on all social media platforms
• Evaluate suitability of internal communication channels on a regular basis as required
• Ensure that merSETA internal communication systems such as Intranet, SharePoint and Yammer are updated with relevant information to keep employees informed
• Liaise with internal and external auditors to provide assistance in efficient preparation for audits
• Attend to audit queries ensuring effective and timeous resolution of queries
 
Qualifications, Experience, Knowledge, and Skills
• NQF Level 6 qualification in Public Relations/Communications/Marketing/Journalism, or related field
• 1-year relevant experience in Media relations/Communications/Publications
• Experience in a SETA environment
