CLIENT LIAISON ADMINISTRATOR X3(B5)

KwaZulu Natal Regional Office 
 
Purpose: The position is responsible for providing effective, efficient, and comprehensive administration, secretarial and support service to the regional office central liaison, regional stakeholders, and managers to ensure that training and development initiatives in the regions are appropriately facilitated. 
 
Key Responsibilities 
The ideal candidate should be able to fulfil and perform the following key responsibilities: 
  • Sound, effective, and efficient administration of all records and information including to enable easy accessibility, accuracy, and comprehensiveness of information. 
  • Professionally attend, handle and respond to all Stakeholder queries ensuring amiable and timeous resolution 
  • Completing Learner Registrations accurately and timeously ensuring all required information is captured accurately and according to procedure 
  • When required timeous and accurate preparation of Tranche Payments T2, T3 and T4 ensuring all information required is attached and saved for easy accessibility.
  • Advise and support stakeholders on processes, procedures, and information relating to skills development issues 
  • Provide guidance and support to Levy Paying Members in navigating the application procedures for Mandatory and Discretionary Grants 
  • Provide accurate feedback from the Regional Office to the Central Liaison ensuring clear and efficient flow of information between Regional Office and Head Office, including all aspects related to Regional Office and Skills Forum Administration 
  • Maintain efficient office management processes aligned with secretarial best practices, involving record-keeping systems, correspondence, communication, report generation and payment requisitions 
  • When required effective logistics management for travel arrangements and event coordination as needed by the regional office for roadshows and events 
  • Oversee and supervise all apprenticeship related matters including trade test bookings, transfers, recession: 24 A, and timelines of learner and apprenticeship programs in alignment with the Quality Management System (QMS) 
  • Effectively and timeously administer all aspects of the suspension process for Apprentices and Learners 
 
Qualifications and Experience 
  • 3-year Diploma or equivalent NQF level 6 Qualification in Business Administration/ Office Administration/ Commerce/ Project Management/ Training or related field 
  • 1 year experience in Administration and Customer Relations in a SETA environment

Purpose: This position is responsible for the effective and efficient implementation of media-based communication strategies for the merSETA to ensure the safeguarding of its reputation through effective media and public relations efforts. Furthermore, the position is responsible for managing the production of internal and external publications. 
 
Key Responsibilities 
The ideal candidate should be able to fulfil and perform the following key responsibilities: 
  • Efficiently and effectively implement and evaluate the impact of the media relations plans/strategy ensuring delivery according to approved policy and procedures. 
  • End-to-end responsibility for internal and external publications, ensuring efficient and effective planning, execution and delivery according to the SETA needs, requirements and specifications. 
  • Manage day-to-day media relations/media requests across all platforms, for brand and corporate issues to enhance and/or promote merSETA brand. 
  • Close collaboration with the Marketing and Communications team to execute plans for brand building, corporate promotions, internal communications and corporate affairs. 
  • Develop written materials including speeches, press releases, talking points, media standby statements on brand and corporate issues as required. 
  • Build relationships with key media contacts and identify opportunities to proactively pitch brand and corporate stories through all media channels, including social media as appropriate. 
  • Develop and implement brand PR programmes, in accordance with approved communication plans/strategies, to support brand building initiatives/innovation/corporate promotions to promote the merSETA brand effectively. 
  • Edit written communication messages/news before distribution to internal and external audiences. 
  • Serve as media liaison between the merSETA and various media outlets. 
  • Initiate, plan, coordinate and oversee media networking sessions to build and maintain strong relationships with the media. 
  • Efficient and effective implementation of publications strategy. 
  • Edit and proofread articles and other organisational documents. 
  • Support marketing efforts to expand the reach of publications and other resources and develop new initiatives to ensure appropriate information is shared with the right audiences via available channels. 
  • Coordinate inventory management of print publications. 
  • Develop budget to ensure the production of external magazines, corporate brochures and any other publications as required. 
  • Knowledge-sharing, documentation of information and informing key stakeholders on new information when required. 
 
Qualifications and Experience 
  • 3-year National Diploma or equivalent NQF Level 6 qualification in Communications, Journalism, Public Relations, International Relations or related field. 
  • Bachelor Degree or equivalent NQF Level 7 or higher qualification in Communications, Journalism, Public Relations, International Relations or related field is advantageous. 
  • Minimum of 3 years' experience working in a media relations role, publications or in public relations. 
 
Knowledge and Skills 
  • PowerPoint, excel, internet, and other public relation tools experience.

HEAD OFFICE 
 
Purpose: This position is responsible to ensure that the merSETA Information management systems are effectively managed, optimally functioning and utilised through the effective management of ICT assets, capacity planning, user support and risk mitigation. The TL for ICT will also implement support systems and maintain merSETA intranet, internet among other websites and portals. The incumbent will ensure that all merSETA staff and clients are supported in all systems and software they need to use, while managing support staff and assisting in the making of key strategic decisions for the division. 
 
Key Responsibilities 
The ideal candidate should be able to fulfill and perform the following key responsibilities: 
  • Optimize service level agreements with service providers in terms of costs, growth, and technology to support merSETA strategy and business objectives. Clearly define technology architecture 
  • Implement efficient technology infrastructure and solutions 
  • Manage outsourced technology services and monitor technology infrastructure effectively 
  • Manage the environment and facilities effectively, determining ICT capacity requirements and ensuring ICT availability and uptime 
  • Provide end user support to internal stakeholders and determine requirements for end-user tools when necessary 
  • Manage emergency changes and track/report change status effectively 
  • Plan and conduct acceptance tests, establish a test environment, and perform IT impact analysis effectively 
  • Develop and regularly test backup schedules. Define classification schemes for incidents and service requests 
  • Verify, approve, and fulfil service requests, and monitor/report service levels 
  • Review service agreements and contracts effectively, managing potential vendor risks and ensuring timely vendor payments 
  • Identify IT asset needs from internal stakeholders and procure IT assets as required
