Primary Function
Responsible for planning, organizing, managing and coordinating various types of events. Usually, coordinate meetings with clients to determine details about events. Responsible for every part of events preparations, such as choosing venues, determining the cost, approving menus, monitoring client approval, developing seating plans and evaluating success afterward.
Key responsibilities:
Plan and design events while managing all project delivery elements within the limits.
Liaise with clients to identify their needs and to ensure customer satisfaction.
Provide feedback and periodic reports to Hospitality Manager.
Propose ideas to improve provided services and event quality.
Organize facilities and manage all event’s details such as décor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material
Ensure compliance with insurance, legal, health and safety obligations.
Specify staff requirements and coordinate their activities.
Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
Ensure that all staff is correctly and smartly dressed at all times.
Ensure that duty rooters are complied, making certain that adequate numbers of experienced permanent and casual waiting staff will be on duty.
Ensure that regular On-The-Job Training is carried out to enable staff to perform their duties correctly.
Check equipment against the fiction checklist to ensure that no items have been misappropriated or mislaid.
Submit all cost functions breakdown to the financial controller.
Ensure that all quotes & final tax invoices are sent to client and financial controller timeously so avoid and bill discrepancies.
Ensure that the purchasing and requisition process is followed at all times.
Maintain proper inventory of all assets and hired operating equipment.

Primary Function
The Marketing Coordinator’s primary responsibility is to support the Marketing Manager and the Business development. Key responsibilities:
Develop and implement marketing strategy and policies for the Roodepoort Theatre.
Updating the marketing strategy on a regular basis.
Implement target marketing for in-house productions and to co-ordinate the marketing of visiting productions.
Maintaining and developing company branding
Communicate to staff all relevant information as distributed during management meetings.
Direct the maintenance of the Roodepoort Theatre website and monthly newsletter to ensure that the website is updated on a regular basis with information that are relevant and current.
Ensure that a newsletter gets distributed on a monthly basis
Ensure that website information and newsletter is current, relevant and easily accessible
Manage the process of liaising with Publicist (In house productions)
Analyze weekly publicity reports and institute corrective actions if required
Arrange the distribution of publicity material and monitoring its effectiveness
Ensure that all productions are well marketed.
Oversee that designs for all billboards, posters, and flyers are done and printer is appointed to execute these requirements
Overseeing the marketing of productions within schools and the developing of special packages for these schools are done.
Oversee the design and distribution of invitation for opening night.
Ensure that all VIP’s are taken care off
Ensure that all productions are well coordinated and marketed.
Liaise with local community groups, in particular ethnic minority, women's and disabled organizations

Primary Function
The Stages Supervisor will be responsible for managing and controlling bars, functions / events, restaurants, and overseeing staff compliments for the areas allocated.
Key responsibilities:
