GOVERNANCE ADMINISTRATOR

The position of Governance Administrator is vacant. The Governance Administrator will report directly to the Senior Manager: Governance & Secretarist Services and form part of the Governance & Secretarist Services Division. The position is based at Head Office, Pretoria.
The total remuneration package will be will be based on qualifications and experience.
The Governance Administrator will be required to support the Senior Manager: Governance & Secretarist Services through the implementation of the following Key Performance Areas (KPAs):
- Manage the corporate governance structure and decision-making framework ensuring all necessary information is provided to Senior Manager: Governance and Secretariat in a timely manner to ensure they can discharge their statutory functions effectively.
- Provide a professional administration service (including preparing agendas, reports, action lists and minutes, arrange meetings, strong administration, diary management and IT skills, liaise with senior managers on relevant issues including checklists etc.) to ensure compliance with the rules and regulations, procedures and practises and the production and quality of governance products
- Assist in supporting the Board of Trustees and the Committee of the Board by maintaining efficient secretariat services in accordance with the approved GEMS Governance Policy and Procedure.
- Undertake appropriate post-meeting actions to ensure implementation of decisions arising from meetings and ensure an appropriate forward plan for the work of the Governance & Secretariate division.
- Provide general administrative support to ensure proper operation of the secretariat division including the Board Portal Maintenance.
- Maintain the Board and Committee year planner and manage the secretariat and events calendar in accordance with the GEMS Governance policy and standard operating procedure.
- Ensure deadline dates on the Extended Year Planner are adhered to.
- Ensure that all secretariat records and documentation are maintained and filed.
- Assist in managing the Scheme's annual trustees and committee member training programmes in accordance with the GEMS Trustee Training policy.
- Assist with control checklist after Board and Committee appointments.
- Maintain up-to-date corporate governance information on the scheme's website
- Gemzito, Public Library Folder and Board portal, including meeting details, agendas and minutes, registers, the annual plan and annual report, and other information as required.
Qualification requirements are:
- Diploma in Secretariat studies /CIMB Programme / Public Governance and Policing Services or equivalent;
- At least 3 years work experience in corporate governance or compliance environment;
- Proven written and communication/ interpersonal skills;
- Proven minutes taking;
- Strong auditing background;
- Analytical and monitoring skills;
- Attention to details
- Ability to identify risks and challenges;
- Ability to give direction and engage with various stakeholders;
- Be organised and have good time management skills;
- Be analytical and have the ability to manage priorities;
- Able to effectively prioritize and meet deadlines;
- Excellent written and oral communication skills;
- Able to work in a team;
- Strong sense of discretion;
- Diligent work ethic;
- Proficiency with MS Office;
- High level of integrity; and
- Should be able to work in a pressurised environment
