The position of Executive Assistant to the Principal Officer is vacant. The Executive Assistant to the Principal Officer will be required to provide support to the Principal Officer through the implementation of the following Key Performance Areas (KPAs):
- Maintaining the PO's calendar and scheduling of appointments
- Preparing meeting packs for PO’s meetings, including drafting agendas, briefing notes, presentations and reports
- Provide logistical support for PO’s meetings, including organising venues, catering, taking minutes and following up on action items for meetings.
- Managing relationships with internal and external stakeholders, including senior executives, board members, and government officials
- Screening phone calls, emails, and correspondence and responding on behalf of the PO as appropriate.
- Review correspondence received for the attention of the PO;
- Conduct research on issues pertinent to the PO;
- Drafting and editing correspondence, speeches, presentations, and other materials for the PO
- Support the management of the OPO budget;
- Manage logistics and travel plans for the PO;
- Provide executive administrative support;
- Lead the executive assistant forum;
- Maintenance and update of a comprehensive issue register;
- Manage and track credit card reimbursement and reconciliation for the PO;
- Support the coordination of internal and external events, such as conferences and workshops.
- Drafting and editing correspondence, speeches, presentations, and other materials for the PO.
Qualification Requirements:
- Minimum three(3) year Diploma or Equivalent in Office Administration/Management;
- Five (5) years of office management with which three (3) years at a senior management support level;
- Understanding of stakeholder relationship engagement;
- Advanced use of Microsoft Office Suite; and
Skills
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms;
- Strong problem-solving skills
- Strong interpersonal skills with an approachable personality;
- Excellent organisational skills;
- High-level project management skills; and
- Strong analytical communication skills, both written and verbal;

Desirable
- Have an understanding of medical schemes industry; and
- Must be in possession of a valid driver’s license and own vehicle and be willing to travel at short notice
