Job Description
The Gautrain Management Agency (GMA) is a Provincial Public Entity listed in schedule 3 of the Public Finance Management Act. The GMA is established in terms of the Gautrain Management Agency Act, No. 5 of 2006 (as amended), to manage, coordinate and oversee concession agreements for the Gautrain rail transit system and assist the Province and other Organs of State in realizing their integrated public transport and rail – related objectives in the Province.
Purpose: To manage and coordinate all administrative functions in the office of the Chief Executive Officer (CEO) and ensuring smooth operation of activities within the Office of the CEO and maintain professional relations with all internal and external stakeholders.
Minimum Qualifications: Secretarial/ Administration Diploma; Computer skills (MicroSoft Office Suit)
Experience: 5 years’ experience in Office Management and or as Personal Assistant for CEO/at management level.

Knowledge and Skills: Good logistical co-ordination skills; Attention to detail; administration skills; Planning and organizing; Communication written and verbal; Innovative; Good interpersonal Skills; Knowledge of basic accounting procedures; PFMA and procurement regulations
Key Responsibilities:
- Manage the office of the CEO.
- Develop and maintain document management system (Electronic and manual).
- Reporting reviews and quality assure all documents that are submitted for the CEO’s attention.
- Manage filing and correspondence.
- Attend meetings and ensure the CEO is well prepared for meetings.
- Organize and maintain diary and make appointments.
- Taking minutes and/or typing minutes, letters and memos.
- Produce documents, briefing papers, reports, charts and presentations.
- Ordering stationery and office equipment.
- Create and manage purchase requisitions and ensure timeous payment of purchase orders.
- Writing executive summaries and newsletters.
- Provide effective and efficient office management and administrative functions.
- Screen phone calls, enquiries and requests and handling them when appropriate.
- Act as liaison between the Office of the CEO, clients, internal and external stakeholders and staff.
- Assist the CEO in the management of the office budget.
- Deal with/ and respond to correspondence.
- Prepare travel arrangements for the CEO.
- Organize and manage events, workshops and meetings.
- Assist and coordinate Office of the CEO’s projects meetings.
