JOB IDENTIFICATION

PURPOSE OF THE JOB
Provision of secretariat support services in the office of the Company Secretary
 
MAIN ACCOUNTABILITIES 
Board secretariat duties
• Work in the office of the Company Secretary in ensuring that the organisation is adopting best practices in corporate governance
• Assist the office of the Company Secretary to drive compliance with FASSET Constitution and all other applicable legislation
• Coordinate meetings for the various governance structures including the timeous distribution of all supporting documentation/packs required for the preparation of the meetings
• Assist in the development of the annual meeting plan in line with statutory requirements
• Assist with the co-ordination of the Board annual Strategic Planning Session
• Attend Board and sub-committee meetings and prepare minutes assist to compile, transcribe and distribute minutes of meetings, Chairpersons reports, matters arising as well as signature of the minutes
• Communicate Board decisions/resolutions, monitor the implementation thereof and provide on-going feedback
• Assist in the development of Board training plan in line with requirements
• Procure training for Board/Committees’ as and when required
• Coordinate Board communications as and when required
• Assist the Company Secretary in the coordination of Board evaluation on an annual basis
• Proper record keeping of governance information to comply with the audit requirements. 
• Assist with the coordination of the Annual General Meeting
• Assist in the completion of compliance checklists as required for the Office of the company secretary
• Assist in the development of a resolution register for Board and Committee meetings
• Assist in the distribution of the annual declarations for staff and Board and Board Committees
• Oversee Board payments in line with Board Remuneration Policy, for approval by CEO
 
Secretariat administration
• Making Travel and accommodation arrangements for Board Members
• Booking of meeting rooms and equipment for all meetings.
• Maintain a filing and distribution system
• processing, storing, retrieving and managing hard copy and digital records and information for Board and board Committees. 
• Processing internal and external information requests.

MINIMUM REQUIRED QUALIFICATION 
Qualification    
• Relevant qualification at NQF Level 6 
 
REQUIRED EXPERIENCE 
Essential: 
• 3 years’ secretarial experience
• Experience in the office of Company Secretary will be advantageous

FINANCE SPECIALIST

JOB IDENTIFICATION

Reporting Line: Finance Manager
Full-time/Part-time/Contract: Permanent
 
PURPOSE OF THE JOB
The primary purpose of this position is to assist the Finance Manager and CFO. The incumbent will be responsible for the Finance support activities
 
MAIN ACCOUNTABILITIES 
 Assist in the Finance policies and development by providing inputs
 Assist in the development and review of financial accounting and related procedures
 Do a thorough review of all invoices support documents to ensure completeness and validity prior to recording
 Ensure completeness and validity of payments batches 
 Ensure complete processes of all transactions of the SETA as per source documents  
 Process relevant journals and post them to the General ledger
 Prepare reconciliations for different account components of annual financial statements for bank accounts, assets, and payable liabilities, projects expenditure among others 
 Prepare the commitment schedules for Projects and Admin contracts
 Assist in compilations of complete budget for FASSET in line with the strategy of the organisation
 Preparing monthly analysis and commentary on Actuals vs Budgets, and for a year on year and month-on-month variances and writing thorough and comprehensive commentary.
 Expenditure management ensures proper accounting of FASSET expenses.
 Ensure proper recording and accounting for all types of liabilities of the SETA.
 Facilitates audit process for internal and external auditors
 Monitor and advice on the accounting impact of the inter-Seta transfers.
 Coordination with the grants administration and project team to ensure proper accounting of the grant’s payment.
 Ensure that proper reconciliation relating to the discretionary grants and mandatory grants are done 
 Assist in the compilations or relevant reports for different structures within FASSET and for external, stakeholders
 Participate in different structures including the internal committee for procurements and grant evaluations among others
 Perform all relevant asset management activities and ensure that asset register is complete and accurate 
 Assist in the preparation of the interim and annual financial statements
 Ensure the controls are enhanced to avoid a repeat of audit findings
 Perform payroll functions
 
REQUIRED QUALIFICATION 
Qualification
• Bachelor’s degree or National Diploma in Accounting/Auditing Financial Accounting/or Management Accounting.  
 
REQUIRED EXPERIENCE 
Essential: 
 At least 3 years relevant work experience with practical accounting experience, Accounts payables, projects accounting, cash and bank, assets management, and audit environment
 Knowledge of public sector accounting including the application of GRAP and knowledge of processes for annual financial statements preparation is required
 SETA is a highly regulated environment and therefore knowledge of the PFMA, Treasury, Regulations, Skills Development Act, and Skills Development Levies Act will be an advantage

 Knowledge of working on ERP accounting systems Syspro SAP, Sage 300, Microsoft AX, Sage evolution would be an advantage.

 Ability to work on Ms. Excel and data analysis will be required and must be willing to work under
