To perform general administration functions for the plant as well as provide general office support.
Description of Job
1. Information Capturing and Reporting
- Assist in updating and maintaining the plant asset register.
- Assist in preparing Capex report as well updating and populating of information into the Capex tracking tool.
- Assist Works Manager with budgeting procedures and reports.
- Download data from LIMS system.
- Order, track and report on consumables, stock and issue of supplies to staff.
- Submit invoices for authorization and record daily.
- Communicate PPE needs from the plant and issue to employees.
- Assist in compiling monthly and quarterly reports and dashboards for the Department.
- Assist with W2RAP Risk report and tracking tools.
- Assist with preparation of Green Drop files for assessments/audits.
2. Administrative Support
- Assist in coordinating plant activities such as meetings, plants visits.
- Assist with attendance register for contractors and staff.
- Attend to employee queries.
- Take minutes for meetings.
- Book and set up venues for all meetings and arrange catering.
- Assist with purchase requests.
- Assist in all office administration and general office duties, such as filing and housekeeping in the office.
Minimum Requirements
Bachelor’s Degree – Administration OR
University of Technology Diploma – Administration OR
N6 Technical College Diploma – Administration with 2 years’ relevant experience OR
Grade 12 / Certificates with 3 years’ relevant experience
Must be computer literate (Ms Office, Intermediate proficiency level)
Special requirements
Computer literacy – High proficiency in Microsoft Word, PowerPoint and Excel
