Job Description

Minimum Requirements:
  • Degree in Business Operations, Logistics, management or equivalent (NQF 7).
  • 5 years management experience in logistical services.
  • Must have sound knowledge of:

Summary of Duties:
  • Oversee the entire process of from acquisition, inventory management to delivery.
  • Corporate travel management
  • Correspond with clients, suppliers, warehouses, and operations hubs to ensure efficiency of logistics services.
  • Find more efficient ways to move or deliver services.
  • Manage warehouse inventory and keep records of the inventory.
  • Monitor and manage budgets.
  • Develop plans, select the better ways of delivering services and contracting.
  • Keep up to date on various ways and options for service delivery.
  • Customer service orientation.
  • Respond to and resolve complaints and problems.
  • Ensure reliable and efficient delivery of services within DUT campuses.
  • Understanding business requirements.
  • Developing the customer charter and action plans.
  • Ensure compliance to DUT policies and procedures regarding procurement and management of service providers.
  • Develop the service charter and SLAs.
  • Ensure stakeholders adherence to SLA’s.
  • Managing and controlling of budgets.
  • Assess and analyse the claims before they are submitted to finance for payment. (Whether rates claimed are those contracted).
  • Ensure monthly meetings with service providers are held to track performance with contracts.
  • Development of people centered management model.
  • Ensure staff understand service levels and adherence.
  • Develop the team culture and alignment across the unit.
  • Planning, organizing and managing schedules for the teams.
  • Monthly meetings with relevant stakeholders to address challenges and any suggestions to improve service delivery.
  • Ensuring reasonable turnaround time for all services.
  • Develop the regular reporting format on performance and deviation.
  • Providing reports on contracted services and deviations from SLAs.

Post: Project Manager - Maintenance Projects (3-year contract)
 
Minimum Requirements:
  • NQF Level 7 qualification in Built Environment OR related field.
  • Professional Project Management certification.
  • At least five years’ experience in a project management environment.
  • Three years’ experience as a specialist in the area of qualification

  • Knowledge of the operations of a university, or organisation with similar needs and constraints, and its environment.

Summary of Duties:
  •  Project planning and scheduling
  • Develops and maintains a basic understanding of relevant project management related policies, frameworks, procedures, plans and systems as relevant to processes.
  • Develops and applies criteria to determine whether initiatives should be registered as projects.
  • Defines the project quality control mechanisms to ensure adequate quality control application across project time span.
  • Liaison with Finance and Procurement re appointment of consultants and/or contractors and prepares procurement specifications
  • Identifies project risks in accordance with set procedures involving stakeholder inputs.
  • Efficient project management
  • Project manages construction projects on site including, regular site meetings with contractors, regular liaison with Specialist Projects, to ensure cost control and that actions are managed within the allocated timeframes.
  • Manages project quality in accordance with policies, procedures, and legal requirements.
  • Defines risk response control to enable the pro-active management of the identified risks.
  • Oversees the projects undertaken to ensure the desired results are achieved, the most efficient resources are utilised, and the different interests involved are satisfied.
  • Conducts quality assurance in accordance with set schedules to ensure that the project deliverables adhere to set standards.
  • Prepares and submits reports/statistics of work undertaken reports to various structures as required, in accordance with the reporting schedule.
  • Track and report on project portfolio performance, providing a real-time, comprehensive, and prioritised view of all projects.
  • Compiling budget for the area of responsibility.
  • Monitors and measures the department performance in accordance with the metrics agreed upon in the performance agreements and corporate balance score card Identify the deliverables in accordance with a formulated project plan to determine the resource requirements in terms of availability and competence.
  • Select staff and allocate to the identified areas of responsibility.
  • Inform staff of the expected roles and responsibilities to ensure that all involved staff understand their part in the project.
  • Plan and execute project team development to ensure the highest possible level of synergy and team performance.
  • Analyses the HR plan, determine the relevant deliverables and set performance targets for own team in the department.
  • Ensures the implementation of learning and development programmes for staff, including personal development plans.

Minimum Requirements:
  • An Honour’s Degree (NQF Level 8) in Logistics Management OR Business Management OR related field.
  • 6 to 10 years’ experience as a senior manager responsible for logistics and/or transport, fleet services.
  • Prior experience in managing transport, fleet, logistics
  • Experience in management of routes scheduling and maintenance of insourced/outsourced services
  • Strategic planning background in relation to all facets of logistical services area of operation.
  • Exposure to the development of budgets, cost control, and related budgetary management.
  • Management of human capital, performance management, absenteeism, and disciplinary processes.
  • Outstanding analytical, problem-solving, and organisational abilities
 
Summary of Duties:
  • Develop and implement an integrated logistics management systems / strategy to support Institutional strategy/objectives.
  • Direct logistics plans which ensure proper coordination to connect business services across the board to maximise returns while providing strong support to operations in adherence to performance standards.
  • Strategically plan and manage logistics, transportation and fleet services.
  • Ensure Integrated Planning amongst all Logistics Infrastructure and Operational Stakeholders.
  • Manage the planning and/or implementation of logistics projects and improvement of processes.
  • Ensure that all logistics solutions are fully integrated.
  • Develop and implement strategies and best practices within the function for purposes of enhancing service delivery and efficiencies.
  • Investigate and introduce/implement new and automated or digital ways of delivering the logistics function in line with required labour, service levels, costs and customer needs.
  • Advise on the development of a logistics operating model and value chain that enhances the logistics function and optimizes productivity of the human capital.
  • Facilitate the ability of logistical services to remain technologically competitive.
  • Implement a centralised transport/fleet management system.
  • Oversee the continuous development and implementation of Logistical Information System, maintenance and functionality of the system.
  • Plan driver resource strategically, tactically and operationally to utilise fleet to its maximum capacity.
  • Deploy appropriate controls and procedures to effectively and efficiently manage all aspects of customer service and communication.
  • Oversee cost control and performance, actively seeking to improve efficiency, reduce operating costs, increasing margin whilst meeting budget.
  • Manage the lease or outsource process and other logistics functions.
  • Ensure fleet, transport and logistical services are managed in accordance with the policies of the University, by rendering the following operational services.
  • Ensure availability of vehicles (internal or outsourced) through effective servicing programme and other means.
  • Manage the costs of running the fleet to the advantage of the university.
  • Allocate vehicles according to requirements ensuring best fit of vehicle to task.
  • Ensure proper maintenance of the fleet in accordance with standard operating procedure as agreed to with the service providers.
  • Direct the various functions of printing operations including graphic arts, photocopy, offset press, and bindery to achieve quality printing in a timely, efficient, and cost-effective manner.
  • Promotes preventative maintenance as a strategy thus extending the operational life of printing and postal equipment.
  • Operate an independent mail service by ensuring that the University's mail service complies with rules and regulations in the receipt, handling and distribution of all classes of mail.
  • Analyse the HR plan, determine the relevant deliverables and set performance targets for the own team in the department.
  • Develop and implement performance management targets.
  • Manage the department in accordance with policies, procedures and legal requirements.
  • Complete management actions within the required time frames.
  • Monitor and evaluate the impact of own repartees development interventions on performance.
