EVENT COORDINATOR (TG 10)

The organisation is calling for suitable candidates to apply for the position of Event Coordinator.
The Event Coordinator will be responsible for coordinating the project planning and control processes of various types of events held at the Durban ICC, whilst performing specific activities associated with the administration and provision of the event activities.
QUALIFICATIONS, EXPERIENCE & COMPETENCIES
Minimum Qualifications
National Diploma in Event Management / Marketing or relevant NQF level 6 qualification
Minimum of 3-4 years’ experience in the related field

KEY PERFORMANCE / MAIN ACTIVITIES OF THIS ROLE
Provide full event coordination including large and complex events for the Durban ICC
Ensure that the project file is checked at handover phase to ascertain that information is accurate before contacting the client
Attend meetings with clients and key stakeholders to ensure that all information pertaining to the event is received and disseminated accordingly
Arrange meetings with internal departments to confirm that client requirements and event deadlines are adhered to
Capture and process Event requirements and orders on ERP system
Conduct pre and post event briefings to establish success levels and client feedback
Maintain proper electronic and manual filing system for all documentation that pertains to the event.
Draft request of quotations for outsourced services and sending request for quotations to Supply Chain Management team to source quotations
Responsible for raising purchase requisitions and purchase orders on JDE system
Required to upsell Durban ICC services and or venues to the client and prepare necessary documentation for approval and sign off by the client
Collaborate and communicate with stakeholders, clients, suppliers and industry partners.

The organisation is calling for suitable candidates to apply for the position of Personal Assistant to the Chief Financial Officer.
The PA to the Chief Financial Officer (CFO) will be responsible for providing high level comprehensive support service to the CFO whilst also organising and coordinating office administration in order to ensure the Departments’ effectiveness is maintained.
QUALIFICATIONS, EXPERIENCE & COMPETENCIES
Minimum Qualifications
National Diploma in Office Management/Business Administration or relevant NQF level 6 qualification
A minimum of two (02) to three (03) years’ experience in a similar role within a highly pressurized work environment
Proficient in MS Office (MS Word, MS Excel, MS Power PowerPoint).

KEY PERFORMANCE / MAIN ACTIVITIES OF THIS ROLE
Coordinate diary appointments, meetings and follow through on all appointments for the CFO
Ensure that information is filed accordingly and presented to the CFO prior to meetings
Act as an initial point of contact for all departmental queries
Ensure that calls are screened and elevate the urgency of the call and provide appropriate action
Ensure that deadlines are elevated to the CFO as well as to Management timeously
Ensure that tasks are prioritised and actioned to enable deadlines to be met
Maintain and file all documents signed by the CFO
Raise purchase requisitions related to Finance department
Place stationery orders and distribute as required by the department
Coordinate supplier complaints and ensure that action is taken by the relevant person
Ensure that Internal Auditors’ requirements are attended to whilst on site.
