The position reports to Governance Manager
Requirements:
• Diploma/Degree in records management or Equivalent
• 1 year’ working experience in Records Management.
• Worked as a Filling Clerk.
• Advanced MS Office (Word, Excel, and PowerPoint).
• Extensive knowledge of Records keeping standards / practices.
• Knowledge of various record management systems.
• Knowledge of good governance.
• General knowledge of broader political, Knowledge of principles of public economic and social environment.
• Advanced MS Office (Word, Excel, and PowerPoint).
• Policy Development communications, information and relations.
Key Performance Areas:
• The Administrator: Records Management is responsible for accurately, securely and effectively managing information received and produced by community schemes.
The incumbent in this role is responsible for maintaining the processes and procedures related to management of required documentation within the compliance and enforcement unit. The role also provides secretarial services for the Unit. The incumbent will be required to work within prescribed standards, processes and procedures and need to optimise the work outputs within these.
• The role must focus on the application administration skills and knowledge within the Unit and must also ensure compliance to standard policies and procedures within the Unit.
• Provides administrative support to the records management unit.
• Take enquiries and requests for information both from internal and external clients.
• Maintain records.
• Establish new records management systems.
• Develop, maintain, verify and evaluate the existing record management system.
• Oversee the switch from paper to electronic record keeping.
• Ensure that data is protected and well-kept.
• Destroy or archive used or finished data/ records.
• Ensure that records are easily accessible when needed.
• Ensure that only authorized personnel can access the records.
