FACILITITIES MANAGER

This position will be reporting to Executive Manager: Corporate Affairs
Requirements
• A Honours Qualification in Business Administration or equivalent.
• A total of 10 years working experience, 3 of which must be at supervisory level.
• Advantageous if possess Postgraduate qualification and previously worked as facilities manager.
Key Performance Areas
• Develop policies, processes and standard operating procedures relating to own area of specialization.
• Provide specialist input in the development of Operational Plans and Organizational Strategy.
• Execute work plans and drive the evidence collection in real time.
• Produce reports against the implementation of work plans.
• Respond to audit findings with complete evidence, on time.
• Implement documented data management practices.
• Comply to policies and procedures in the unit.
• Facilitate the implementation of Facilities Regulations as per the stipulations of section 43 of the OHS Act, 1993.
• Ensure proper management of Electrical Installations Regulations as per section 35 of the OHS Act, 1993.
• Develop office systems and oversee the procurement thereof.
• Facilitate the implementation of Facilities Regulations as per the stipulations of section 43 of the OHS Act, 1993.
• Ensure proper management of Electrical Installations Regulations as per section 35 of the OHS Act, 1993.
• Develop office systems and oversee the procurement thereof.
• Always oversee the effective maintenance of CSOS building.
• Manage the availability of stocks relating, furniture, acquisition, protective clothing, to general beverages e.g. coffee, tea, milk, sugar, etc. as well as cleaning equipment e.g. washing clothes, dusters, polish, etc.
• Oversee that all CSOS meeting events are catered for.
• Manage parking arrangements, and procedures for boardroom booking.
• Oversee postal services, franking, deliveries.
• Direct the effective management of the lease agreement.
• Manage access to facilities to all CSOS employees and stakeholders.
• Monitor service delivery by service providers to ensure superior quality and that it addresses the needs of the Agency.
• Review reports and take necessary actions.
• Manage the availability of driver services for CSOS staff where necessary.
• Oversee the safety of CSOS premises to ensure a safe working environment for employees and the safety of visitors.
• Ensure that the CSOS building is in line with the requirements of the Occupational Health and Safety Act.
• Oversee that all accidents and incidents are investigated; and incidents and recommend safety improvements when necessary.
• Conduct periodic security risk assessments and Monitor and report on any safety hazards and liaise with local law enforcement to assist investigations of accidents, thefts, and property loss.
• Oversee the management and establishment of the switchboard.
• Oversee effective management of the reception area and services for CSOS.
• Oversee that staff and visitors are well catered for e.g. timeous serving of refreshments and beverages.
• Oversee that the reception area is well kept during office hours.
• Keep up to date with new developments and changes in own field and within CSOS.
• Share new information and best practice trends with colleagues.
• Proactively introduce improvement opportunities in line with best practice to optimise organisational success.
• Partner with management to optimise productivity and teamwork effectiveness.
• Maintain ownership for own work, performance management and development.
• Maintain open and honest communication.
• Engage in problem solving and continuous improvement processes to optimise output of the area.
• Demonstrate visible ownership of business wide initiatives impacting on area of accountability.
