ABOUT THE JOB:
The Admin Officer is required to provide a professional service with respect to the implementation, maintenance, and improvement of Armscor’s Dockyard's Quality Management System and all other assigned administrative tasks.
QUALIFICATION
- Matric (Grade 12)
- Office Administration Certificate or similar
- Document Control certificate
EXPERIENCE
- 3 years’ experience within a similar business environment
- Computer Literacy
- ISO 9001 Quality Management System implementation
CRITICAL PERFORMANCE AREAS
The incumbent will be responsible to perform the following functions but not limited to;
- Ensure proper maintenance of records and easy retrieval of documents as and when required, in accordance with the document management system of the organisation.
- Scheduling and taking minutes at Document Management Review Committee Meetings.
- Archiving of Management Documentation.
- Upload Management documents on the Intranet.
- Handle all administration regarding document distribution.
- Confirm that all archiving records / files are captured into the database and that all the relevant information is correctly capture.
- Manage the process with respect to management documentation according to A-PROC-007 Management of Management Procedure.
- Facilitate that management documentation are standardised and that the processes for development /review/ approval of documentation are followed.
- Update Document Change Proposal register (DCP).
KNOWLEDGE & FUNCTIONAL SKILLS:
- Knowledgeable of Documentation in Procedures, Practices and Polices
- Proficient in MS Office
- Good verbal and written communication skills
- Accurate data capturing and minute taking
- Ability to work with minimal supervision.
