ABOUT THE JOB:
The incumbent will procure products, materials, goods, services and supplies against Armscor’s operating budget.
QUALIFICATIONS AND EXPERIENCE:
- CIPS membership will be an added advantage.
- 3 – 4 years’ relevant work experience in supply chain function with specific experience in procurement.
KEY RESPONSIBILITIES BUT NOT LIMITED TO:
- Communicate with internal customers to ensure clear understanding of their needs and technical specifications including level of urgency as well as keep them updated on a regular basis on the progress of their requirements.
- Prepare, review and finalize the draft RFQ and related documents.
- Advertise/issue RFQ’s on relevant platforms.
- Arrange the bidders briefing, writing minutes of the meeting and distribute them to bidders as and when required.
- Handle correspondence with potential bidders and the project managers.
- Negotiate with suppliers as and when necessary.
- Place orders with the successful bidder.
- Resolve issues related to supplier performance against the order.
- Follow up and undertake control actions during the contract period.
KNOWLEDGE & FUNCTIONAL SKILLS:
- Sound knowledge of Public Sector Supply Management.
- Knowledge of Preferential Procurement guidelines.
- Knowledge of PFMA.

ABOUT THE JOB:
The incumbent will manage the office responsible for the issuing and receiving of the request for quotations and bids to satisfy the requirements of the Clients and ensure the Compliance.
QUALIFICATIONS AND EXPERIENCE:
- B-Degree (Procurement / Supply Chain Management) or equivalent.
- CIPS membership will be an added advantage.
- 6 years working experience in SCM environment of which three years must be in the Bid administration office.
- Knowledge of prescripts and public procurement.
KEY RESPONSIBILITIES BUT NOT LIMITED TO:
- Review bid closing dates and ensure enough time is given to the market based on the complexity of the requirements and other factors such statutory requirements.
- Review RFx (RFB, RFQ, RFP, etc) documents to ensure that the latest and relevant templates are used.
- Vet RFx documents and advert and ensure that bids are advertised on all applicable platforms such as Armscor Tender Bulletin, National Treasury e-Portal, CIDB, etc.
- Process single source and sole source RFx documents to identified suppliers.
- Issue RFx documents to prospective bidders on request and record the details in the bids/RFQ issue register.
- Ensure that all queries from bidders including drafting clarification to their queries and co-ordinate issuing of clarification to technical enquires are attended to.
- Managing the bid receipt office and check correctness of bids processing.
KNOWLEDGE & FUNCTIONAL SKILLS:
- Basic knowledge of Preferential Procurement guidelines.
- Basic knowledge of PFMA.

ABOUT THE JOB:
The incumbent will provide secretarial and administrative services to the SCM Compliance, Performance Monitoring and Reporting division including bid committees and ensure the effective and efficient delivery of support services.
QUALIFICATIONS AND EXPERIENCE:
- Grade 12.
- National Diploma in Administration / SCM or equivalent.
- CIPS membership will be an added advantage.
- 3 – 5 years’ administrative experience in SCM or Company Secretary Environment.
- Knowledge on SCM regulations and policies.
KEY RESPONSIBILITIES BUT NOT LIMITED TO:
- Produce weekly decisions, minutes, agendas, distribution schedules and declaration of interest forms for all adjudication committees within the set times for each committee.
- Update bid status on the bid registers in line with the decisions of the Committees immediately after approved decisions.
- Register submissions that are approved as late submissions for each bid adjudication committee and submit the information to the Manager: Reporting on a monthly basis.
- Update the templates for all bid committees as and when required.
- Attend and respond to SCM Compliance matters that are related to the bid committees.
- Confirm the completeness of RFB in line checklist after it has been received for publication.
- Ensure proper recording of received bids and upload on the e-Tender portal.
- Follow up with bids in progress in order to speed up the turnaround time and to ensure that the validity period does not lapse.
KNOWLEDGE & FUNCTIONAL SKILLS:
- Knowledge of office administration.
- Ability to plan and organize work using own initiative.
- Knowledge of the procurement administration function.
