BUSINESS CONTINUITY SPECIALIST

ABOUT THE JOB
To support the development, implementation, and maintenance of business continuity plans (BCPs) and crisis response protocols, ensuring operational resilience and compliance with organisational standards.
 
QUALIFICATIONS
  • Grade 12.
  • Bachelor's degree in Risk Management, Business Management, Disaster Recovery, or a related field.
 
TECHNICAL / LEGAL CERTIFICATION / PROFESSIONAL REGISTRATION 
  • CBCP (Certified Business Continuity Professional) or MBCI (Member of BCI).
 
EXPERIENCE
  • Minimum 8 years’ experience in business continuity, disaster recovery, or operational risk.
  • Hands-on experience with BIA tools, BCP documentation, and crisis simulations.
  • Familiarity with regulatory standards (ISO 22301, King IV).
 
CRITICAL PERFORMANCE AREAS
 
Business Continuity Planning and Frameworks
  • Develop, implement and maintain the organisation’s BCM policy, strategies and procedures in line with ISO 22301 or equivalent standards and practice guidelines.
  • Ensure BCPs align with relevant legislation, standards and organisational policies.
  • Collaborate with stakeholders to develop and update business continuity and disaster recovery plans for critical functions.
  • Ensure BCPs align with ISO 22301, BCI Good Practice Guidelines, and organisational policies.
  • Maintain repositories of BCPs, contact lists, and recovery resources.
  • Support gap analyses and maturity assessments to enhance resilience.
 
Business Impact Analysis and Risk Assessment
  • Identify potential threats and assess the impact on operations.
  • Facilitate BIAs to identify critical processes, dependencies, and RTOs/RPOs.
  • Map single points of failure and work with IT to align BCPs with disaster recovery plans. 
  • Monitor emerging risks (e.g., cyber threats, supply chain disruptions) recommend measures to mitigate and improve operational resilience and update risk registers.
 
BCP Testing, Exercises, and Incident Response
  • Plan and coordinate regular BCM exercises, simulations, and full-scale drills. 
  • Evaluate test results and ensure corrective actions are implemented.
  • Document test results, lessons learned, and action plans for improvement. 
  • Assist in crisis response during disruptions and post-incident reviews.
 
Organisational and Third-Party BCM Readiness, Compliance, and Reporting
  • Evaluate and monitor vendor business continuity plans (BCPs) through due diligence assessments and supplier risk tracking.
  • Contribute to organisational contingency planning involving third-party dependencies.
  • Develop and deliver business continuity training and awareness programs across the organisation.
  • Support internal and external audits or assessment of BCM processes and ensure execution of recommendations.
  • Promote a culture of resilience through targeted internal communications and workshops.
  • Administer and maintain BCM software tools, ensuring data integrity and availability.
  • Prepare reports and updates on BCP readiness, test results, and compliance metrics to relevant governance forums.
 
KNOWLEDGE & FUNCTIONAL SKILLS
  • Proficiency in BIA methodologies and BCP development.
  • Understanding of IT disaster recovery and risk management.
  • Competency in BCM software.

SENIOR STOCK OFFICER

ABOUT THE JOB:
Oversee and ensure effective inventory management within SCM Stores, encompassing printing consumables, cleaning materials, refreshments, promotional items, building supplies and stationery items, to ensure timely availability, efficient distribution to end-users.  
 
QUALIFICATIONS
  • Grade 12
  • National Diploma or NQF Level 6 in Logistics / Supply Chain Management or equivalent.
 
EXPERIENCE
  • 3–5 years of experience in inventory control, logistics, or supply chain management.
 
CRITICAL PERFORMANCE AREAS
The incumbent will be responsible to perform the following functions but not limited to;
  • Oversee and monitor stock levels across all inventory categories, ensuring optimal balance between availability and cost-efficiency.
  • Supervise inventory management process by ensuring capturing received inventory, updating records, and maintaining accurate inventory codes and bin locations.
  • Analyse inventory trends, demand patterns, and historical data to forecast requirements and support procurement planning.
  • Implement and maintain inventory KPIs, dashboards, and automated reordering systems to minimise stockouts, overstocking, and obsolescence.
  • Support and participate in procurement processes (RFQs & RFBs) for SCM Warehouse-related requirements.
  • Create new inventory codes for new stock keeping units, categorising those items into the designated inventory categories.
  • Ensure effective backorder management for out-of-stock items and prompt stock replenishment to minimise delays and to meet clients demands.  
  • Perform monthly reconciliation of inventory records with the general leader report to ensure accuracy and alignment 
  • Conduct regular spots checks and ad-hoc inventory counts to ensure inventory accuracy, promptly investigate and resolve discrepancies to maintain inventory integrityConduct inspections and evaluations and report thereon in writing.
  • Conduct quarterly stock taking, investigate and resolve identified inventory discrepancies in accordance with the SCM Warehouse Management Guideline.
  • Attend to client queries at the counter, ensuring timely, professional responses and high client satisfaction.
  • Ensure effective administration of SCM Warehouse service requests which includes costs recoveries.
  • Conduct timely verification of transactions processed by the stock officer to ensure accuracy, completeness, correctness and effective costs recovery management for SCM Warehouse service requests.  
  • Assist in managing SCM Warehouse contracts and coordinate with finance, SCM Sourcing, and other stakeholders to improve supply chain effectiveness.
 
Receiving, Dispatching, and Client Fulfilment
  • Supervise the verification of incoming goods and ensure compliance with purchase orders and organisational standards.
  • Oversee the timely processing of client service requests, issuing stock accurately and updating bin cards and system records.
  • Ensure discrepancies in goods received or client requests are promptly investigated and resolved in collaboration with suppliers and internal stakeholders.
  • Provide guidance and support in receiving and dispatching activities, promoting efficiency and accuracy.
 
Storage and Safety Oversight
  • Ensure safe, organized, and secure storage of all inventory, enforcing proper labelling, categorization, and tracking systems.
  • Optimize storage layouts and workflow efficiency and maintaining an orderly environment.
  • Enforce compliance with safety, security, and regulatory requirements
  • Maintain FIFO (First In, First Out) principles for all inventory movements.
 
Logistics, Record-Keeping, and Reporting
  • Supervise the process of ensuring accurate recording of all stock transactions, including receipts, dispatches, transfers, and returns.
  • Ensure timely preparation of reports for audits, regulatory compliance, and management, including daily statistics and monthly/quarterly inventory reports.
  • Oversee the return of inventory to suppliers, ensuring proper documentation and coordination.
  • Assist with logistics processes and stock movements to prevent discrepancies and support corrective actions.
 
Disposal and Obsolete Stock Management
  • Conduct regular inventory inspection across all categories of stock keeping units to identify redundant, obsolete, damaged and/or near expiry item for disposal and provide recommendation to the line manager for consideration and further action
  • Supervise the safe and compliant disposal of obsolete, damaged, or expired stock in line with policies and regulations.
  • Ensure accurate documentation of all disposals for audit purposes and identify opportunities to minimize loss through recycling, resale, or donation.
  • Coordinate with relevant departments to confirm legal and procedural adherence.
 
 
KNOWLEDGE & FUNCTIONAL SKILLS
  • Strong understanding of inventory management principles, stock control, and warehouse operations.
  • Knowledge of supply chain management processes, including procurement, receiving, dispatching, and disposal.
  • Familiarity with SCM systems, ERP software, and inventory tracking tools.
  • Understanding of regulatory, safety, and compliance requirements related to storage and handling of materials, including hazardous or sensitive items.
  • Knowledge of reporting, record-keeping, and reconciliation processes for accurate inventory management.
