TRANSPORT EDUCATION & TRAINING AUTHORITY (TETA) Corporate Services Unit OFFICE ADMINISTRATOR Randburg Package: Market Related KEY PERFORMANCE AREAS 1. Provide Support to Stakeholders 1.1 Attend to stakeholder queries and provide feedback; 1.2 Maintain good working relationships with internal and external stakeholders; 1.3 Communicate with all relevant stakeholders on TETA processes; 1.4 Assist walk-in clients. 2. Financial Administration 2.1 Submit claims to finance for payments. 3. Office Administration 3.1 Manage the Executive Manager Corporate Service’s office; 3.2 Ordering office stationery and office equipment; 3.3 Manage documentation, collate reports and all submissions. 4. Travel Coordination 4.1 Co-ordinate travel arrangements for the Executive Manager Corporate Services; 4.2 Prepare and submit travel claims. 5. Diary Management 5.1 Organise meetings on behalf of the Executive Manager Corporate Services; 5.2 Draft and manage all minutes for the office. 6. Document Management 6.1 File and maintain an effective electronic and manual document management systems; 6.2 Manage document flow and register all incoming documents. 2. MINIMUM REQUIREMENTS 2.1 Experience and Qualification • M+3 qualification in Office Management or relevant qualifications; • Minimum of 3 years’ experience in office administration; • Experience in the public service and/or skills development sector; • Overtime and travel. 2.2 Knowledge and Skills • Knowledge and Understanding of: • Business Administration knowledge; • Office equipment usage; • Diary Management; • Good customer service; • Documents Management and record keeping. 2.3 Skills • Telephone and organizational skills; • Planning and organizing skills; • Excellent communication (verbally and written) and facilitation skills; • Presentation, communication and writing skills.
