3.4. Ensure that learner agreements on are captured on approved TETA system.
3.5. Prepare addendum requests where amendments need to be affected on contracts. 3.6. Assist in drafting contract agreements once term and conditions, deliverables and requirements have been finalised. 3.7. Update newly approved contracts on Flagship and Strategic Projects report. 3.8. Communicate contract deviations to the respective stakeholder. 4 Reporting 4.2. Keep records of all submissions to related proof of payments for accurate reporting. 4.1. Update Discretionary Grants and Flagship report on a monthly basis for accurate quarterly and annual reporting. 5 Office Administration 5.1. Provide personal assist to Unit Manager timeously. 5.2. Coordinate travel arrangements and accommodation bookings for the unit manager and process payments claims. 5.3. Ordering of stationery and office equipment in the unit. 5.4. Overall administrative support to the unit. 6 Document Management 6.1. Assist with ensuring and maintaining an effective electronic and manual document management for easy retrieval. 6.2. Records all incoming correspondences/ documents. 6.3. Managing and reviewing filing and office systems including data management MINIMUM REQUIREMENTS 1. Qualification and Experience Requirements • M + 3 qualification in education, training and development or relevant qualification. • Minimum of 3 years’ administrative experience, 1 year of which should be experience in project administration environment. • Experience in a SETA or Public Sector environment preferable. • Willingness to travel and work overtime. 2. Knowledge and skills 2.1. Knowledge and understanding of: • Contracts and project administration. • Data analysis. • Filing systems – electronic and manual. • Office administration. • Stakeholder Relations Management. • Understanding of the most relevant systems presently being employed. • Ability to work under pressure and long hours at times. • The following legislations - Skills Development Act, Skills Development Levies Act, National Skills Development Plan, Public Finance Management Act, and South African Qualification Authority. 2.1 Skills • Computer skills (MS Word, MS Excel, MS PowerPoint, MS Outlook). • Decision making skills. • Report writing skills. • Excellent communication (verbally and written) and facilitation skills.
