PROUDLY SOUTH AFRICAN PROJECT COORDINATOR & EXECUTIVE SUPPORT TO CEO’S OFFICE (Ref NO – PCES 2023) The Proudly South African Campaign invites applications from suitably qualified candidates for the position of a Project Coordinator & Executive Support to CEO’s Office on a fixed term contract for 3 years. REMUNERATION PACKAGE: R50 000.00 per month plus benefits.
MINUMUM REQUIREMENTS: • Matric. • Bachelor’s degree in project management or equivalent qualification. • Professional Registration - Prince II Accredited. • Minimum 5 years of project management experience. • Minimum 5 years office management and executive support experience. SKILLS: • Proficiency in Microsoft Office and relevant Project management software and programs. • Detail orientated, able to track and organize information data and communications efficiently to ensure project issues are dealt with promptly in the appropriate manner. • Personable with excellent verbal and written communication skills. • Relationship building skills and demonstrated project management skills. • Excellent presentation skills to audiences at all levels. • Ability to develop man reports and GHANT charts. • Results-orientated, self-starter with strong interpersonal, organizational and priority management skills. • Ability to handle organizational interdependencies. • Excellent time management skill, ability to multitask, work against short deadlines and be calm and focused. • Excellent interpersonal and communication (both written and oral) skills, demonstrating outstanding ability to correspond with colleagues as well as internal and external customers. • Excellent organisational skills, planning and managing workload and to meet deadlines. • Experience of producing reliable and accurate work in a pressured environment. • Appreciation for tact and diplomacy. • Ability to design and implement project management methodologies. KNOWLEDGE: • Demonstrates understanding for the features and benefits of Proudly South African’s products and services and converses easily on the total product / service line. • Demonstrates full knowledge of PMBOK. • Sound understanding and working knowledge of office management and practice. • Knowledge and understanding of the regulatory bodies functioning within the various industry sectors. • Displays original thinking and creative decisions in developing strategies and operational plans that clearly reflect the company’s vision. • Understanding of system interface. KEY ROLES AND RESPONSIBILITIES: • Development, planning, implementation, review, evaluation, reporting and conclusion of the projects including securing resources and necessary budget (where required). • Responsible for management and execution of special projects as assigned by the CEO. • To provide comprehensive professional support service to the CEO in all aspects relating to efficient and successful operation of the CEO’s office. • Ensure that timely follow-up action is taken and that the CEO commitments and agreements are appropriately actioned and met. • Develop the project management approach including training required for the project teams, operational teams, reporting structure of the project, frequency of interaction between managers and resources, the number and frequency of team meetings and the need for the extent of involvement of external project stakeholders. • Providing administrative support to the project implementation teams. • Guide all aspects of projects through cross-functional teams-including meeting timelines, costs targets, quality requirements, and budget constraints. • Consults and reviews with management project proposals to determine time frames, funding limitations, procedures for accomplishing the project and availability of resources for the various phases of the projects. • Develops project plans to specify goals, scheduling and identification of risks and contingency plans for each phase of the project. • Identify and schedule project deliverables, milestones, and required tasks. • Monitors and coordinates activities of project team members to ensure project progresses on schedule and are within prescribed budget. • Prepare project status reports and update management, clients, and relevant personnel informed on the project status and related issues. • Design and implement a dashboard reporting system. • Performs miscellaneous other appropriate duties as assigned.
