POSITION NUMBER : 60066582 JOB TITLE AND LEVEL : EXECUTIVE ASSISTANT (C2) REPORTS TO : CHIEF HUMAN RESOURCES OFFICER AND CHIEF RISK OFFICER LOCATION : HEAD OFFICE - PRETORIA POSITION STATUS : PERMANENT Purpose of the Job To perform a supporting and office management role in a highly professional manner to the Chief Human Resources Officer and Chief Risk Officer by executing, organising and co-ordinating all administrative functions enabling the CHRO and CRO to focus on strategic deliverables. Job Responsibilities Serves as a liaison between the CHRO/CRO, other executives, staff, and external stakeholders whilst maintaining a professional demeanour at all times Responsible for internal and external office communication: email, voicemail and miscellaneous written correspondence Manage the CHRO and CRO’s calendar including scheduling appointments and prioritising the most sensitive matters Coordinate meetings, events and Project management as assigned Perform administrative duties not limited to claims resolution, certifying invoices for payment and making sure they are paid on time and provide feedback or status update to the relevant parties Conduct research and provide support for special projects as assigned by the CHRO and CRO Responsible for Stakeholder Engagement and Stakeholder Management Assist with preparation of various HR templates and ensure alignment to corporate format Responsible for reporting by collecting and analysing information as agreed with CHRO and CRO Coordinate the day-to-day operational and administrative activities of the office of CHRO and CRO by organizing the incoming flow of work, prioritising incoming requests, maintaining the agenda and following-up to ensure timely response Responsible for office and administration Management in terms of contract, document and information management whilst maintaining confidentiality and discretion when handling sensitive information and documents Coordinate travel arrangements, itineraries, and logistics for the CHRO and CRO Organizing office layout, ordering stationery and equipment in accordance with company purchasing policies and budgetary restrictions Prepare and organize materials for meetings, including agendas, reports, presentations and accurately drafting of minutes during meetings and making sure that they professional and tracked and kept safe Perform administrative correspondence such as receiving visitors, preparing both physical and virtual meetings Organise parking for visitors Qualifications and Experience A National Diploma or Bachelor’s degree in Office Administration or related 3 - 5 years’ proven experience in a similar role providing support at an executive level Office management experience and proven success in office administration Proficient in Microsoft Office Suite and other relevant software and tools Computer literacy at an advanced level Minutes taking and reports consolidation Excellent communication and interpersonal skills, with the ability to interact with a wide range of individuals.
