DISPATCH CONTROLLER Ref: DC 35/2023 Closing Date: 16 December 2023 Reporting to the Distribution Supervisor to assist in the distribution or dispatch of vaccines orders to clients in accordance with the required specifications and OBP’s standard operating procedures. Main Responsibilities include Receive and packaging vaccines by ensure that all received vaccines correspond to the required documentation * Ensure that the vaccines are correctly stored and stacked in the cold room * Inform the Supervisor of the vaccines received to generate the appropriate status labels * Receive dry ice and ice gels and cold chain boxes * Store all frozen vaccines in liquid nitrogen freezers and capture details into the frozen vaccine inventory* Provide and prepare packaging material * Ensure that there is sufficient packaging material and dry ice and inform supervisor of shortages * Assemble boxes timeously and in the correct quantities * Pack vaccines according to invoice details and inform supervisor of any discrepancies * Call supervisor to check all orders before packaging and sealing of order * Check batch numbers and expiry dates and report discrepancies to supervisor * Ensure that there is enough stock in the cold room for supplying customers * Already expired products to be returned to packaging and follow the right procedure * Check returned stock if it is in the cold chain store away from other products. Inform QA of the returns for further instruction * Participate in stock taking activities as per standard operating procedures.*Ensure correct invoicing and traceability * Make copies of the documentation relating to the vaccines received from packaging and file accordingly * Ensure export packaging list complies with the appropriate dimensions * Vaccine products for couriers and customer must be correctly packed, labelled with proper weigh bills, and accurately filed * Issue Certificate of Analysis (COA) and Material Safety Data sheets (MSDS) to accompany sold products * Responsible for the coordination and maintenance of quality risk management in line with regulatory requirements * Drive the implementation of compliance with policies and procedures aimed at strengthening the OBP reputation and stakeholder interface * Monitor changes in the regulatory environment and ensure that appropriate operational controls are implemented to address new requirements * Support and provide evidence to all internal and external audit requirements * Oversee the maintenance and enforcement of related operational Service Level Agreements to minimise business risk and ensure business continuity. Minimum Requirements: Grade 12 NQF 4* Valid Forklift License *2 Years’ experience in warehousing and/or distribution roles * Good numerical literacy is required * Flexible to work overtime as/when required * Other responsibilities of the role: As determined by the line manager and the requirements of the job. PROCUREMENT OFFICER X1 Ref: PO29/2023 Closing Date: 16 December 2023 Reporting to the Supply Chain, the Procurement Officer shall purchase required items, perform stock and inventory control in accordance with prescripts, as well as purchase technical goods to be used in the Production Processes. Main Responsibilities include: * Effective Sourcing of Suppliers and quotations for the best price are obtained according to specifications *Ensure requisition forms are approved by relevant management in accordance with delegation of authority policy * Obtain RFQs/Tenders from all suppliers according to PO initiator/requirements * Conduct negotiations with suppliers on price and delivery * Implement cost saving initiatives and evaluate competitive offers to determine the best one in terms of RFQ process * Ensure requisition forms are in accordance with the Inventory and Procurement SOP (3 quotations and a complete POR) * Assist in checking, monitoring and guiding internal staff on the compliance with all company procurement policies Ensure that all purchase orders are completed as per SOP * Generate purchase orders * Send signed order to supplier for confirmation of service * Inform end user of the suppliers that will render the service or supply goods * Verify the invoice against the purchase order * Capture new qualifying suppliers on the database * Provide Procurement Support by Liaise with suppliers on incorrect, under delivery, over delivery and poor quality of goods delivered * Ensure goods received are captured in the accounting system within the relevant period from delivery by processing a Goods Received Note against the PO placed, as per the SOP * Maintain the filing system of suppliers and other Supply Chain documents * Ensure the mitigation of the department’s risk profile through the application of fraud controls and risk prevention principles and implementing of sound governance and compliance processes and tools to identify and manage risks* Drive the implementation of compliance with policies and procedures aimed at strengthening the OBP reputation and stakeholder interface. Minimum Requirements: *. Higher Certificate in Procurement, Logistics or SCM. NQF 5 * Higher Certificate in Supply Chain within Public Sector will be advantageous * At least 3 years’ experience in a Purchasing role * Working knowledge of PFMA, National Treasury Regulations * Working knowledge of BBBEE Act and Government procurement principles. STORE ASSISTANT Ref: (SA29/2023) Closing Date: 16 December 2023 Reporting to the Supply Chain Manager, the store assistant will receive and dispatch goods in accordance with the procurement requirements, and ensure housekeeping of the stores is maintained in accordance with the company SOPs. Main Responsibilities: Accurately receive goods procured by ensure that the goods received correlates to the Purchase Order (PO) * Ensure goods receive is checked and correct documents completed i.e GRV, Purchase invoice) * Monitor stock movements/transactions and ensure documents are punched on the relevant ERP system i.e requisition vouchers * Ensure that the bays are marked in the stores area to ensure accurate allocation of goods received * Ensure stock is stacked and stored in the designated and in accordance with the SOPs to ensure safety of employees * Ensure that items that are flammable and/or pose a chemical safety risk are stored separately to in accordance with the OHSA requirements * Ensure when operating the forklift the same is done with strict adherence to the safety requirements * Ensure that raw material and packaging is given to QC for testing and approval relevant document must be submitted * Liaise with suppliers for goods that must be returned as per NCR or rejected by QC * Timeously and accurately dispatch goods to the required departments in accordance with the requisition voucher * Check reference numbers on the requisitions against the product code to ensure the correct product is dispatched * Check daily Nitrogen levels on bulk tanks and report to Manager / Afrox * Conduct /monthly / annually stocktake by physically counting the stock * Ensure that the store is maintained in a neat and tidy manner * Adhere to all occupational safety requirements and regulations at all times.
