The ETDP SETA is looking for a suitably qualified and experienced Administrator to join our dynamic team at the Constituency Support Unit as: CONSTITUENCY SUPPORT ADMINISTRATOR Salary: R 430 335 per annum (Total Cost to Company) Job Purpose: The primary purpose of the job is to provide an effective and efficient administrative function and support to the Constituency Support Unit in relation to financial processes, record management, purchasing and project administrative services. The incumbent will report to the Head of Department: Constituency Support and develop strong working relationships with service providers and other business units within the ETDP SETA. The position is based at the ETDP SETA Head Office in Johannesburg. The successful incumbent must have the following minimum requirements: Qualifications and experience required: • A National Diploma (NQF Level 6) in Office Administration or Business Administration or Office Management and Technology. • Project Management qualification will be advantageous. • Minimum three (3) years administrative experience working in a project management environment with at least two years of administrative support experience in the ETD sector or Public Entities. • Computer literacy (Microsoft Word and Excel, E-mail, Internet), knowledge and experience in database and learner management systems. • Strong communication skills (verbal and written) to liaise with team members and stakeholders. • Strong analytical and technical skills. • Excellent time management and planning skills to ensure the project is completed on time and within budget. • Attention to detail to monitor and control project variables. • Ability to cope with pressure and deadlines in a fast-paced environment. • Ability to work in a team, willing to put in extra effort and time when the team is under pressure. • An ability to work with data and perform the necessary reconciliations. Duties and Responsibilities: • Provide general administrative support within the Constituency Support Unit. • Assist with administrative project activities, including meeting arrangements, risk management updates, issue management updates and quality control. • Maintain all project correspondence and arrange and coordinate all travel arrangements and venues for project meetings. • Create document packs for the stakeholder’s meetings and unit meetings. • Provide information to relevant Units to facilitate project payments. • Prepare memorandum of understanding, service level agreements, and letters of award for employers and individual learners. • Attend learner induction on the first day of training to provide administrative support. • Monitor learner attendance and capture learner information on the database system. • Ensure all documents are available for the Department of Higher Education and Auditor-General during verification. • Generate reports for internal and external stakeholders. • Ensure payments are made for projects assigned within the Constituency Support Unit. • Research payment history and interfaces with Accounts Payable and Payroll regarding payments. • Liaise with training coordinators to obtain outstanding learners’ information. • Record and reconcile budget expenditures for the projects and units. • Maintain an effective filing system for the Constituency Support Unit. • Manage databases with all relevant documents for the Unit. • Assist and guide stakeholders on ETDP SETA processes. • Minute taking and report writing. • Process learner allowances on the VIP system. • Perform other project-related administrative duties as assigned by the Line Manager. The incumbent will report to the Provincial Manager, and the position is based at the ETDP SETA Provincial Office in Bloemfontein. Research payment history and interfaces with Accounts Payable and Payroll regarding payments. • Receive and distribute invoices from the providers and coordinate payment of providers. • Manage the administration functions when implementing learning programmes in the province. • Maintain all project correspondence and arrange and coordinate all travel arrangements and venues for project meetings. • Manage databases with all relevant documents in the province. • Set and manage the logistics for meeting workshops and others. • Prepare and verify reporting files for the province and manage the provincial office filing system. • Assist learners in completing application forms for the ETDP SETA. • Attend to queries and manage the walk-ins at the province. • Contact learners to ensure that completions are reported. • Minute taking and report writing. • To prepare payments for learner allowances, including collecting and verifying time sheets and other documentation. • Process learner allowances on the VIP system. • Perform other project-related administrative duties as assigned by the Line Manager. The ETDP SETA is looking for a suitably qualified and experienced ETDQA Officer to join our dynamic team at the Mpumalanga Office as: EDUCATION, TRAINING & DEVELOPMENT QUALITY ASSURANCE OFFICER (ETDQA OFFICER) Mpumalanga (Mbombela) Salary: R 532 795 per annum (Total Cost to Company) Job Purpose: The primary purpose of the job is to quality assure the registration, accreditation and monitoring process pertaining to skills development providers in the province and to effectively ensure the implementation of the skills development processes in line with the requirements of the Skills Development Act. The incumbent will liaise with the skills development providers concerning all aspects of quality assurance and improve the relationship between the ETDP SETA and the skills development providers through service excellence. The incumbent will report to the Provincial Manager and develop a strong working relationship with other business units within the ETDP SETA. The position is based at the ETDP SETA Provincial Office in Mbombela (Mpumalanga). The successful incumbent must have the following minimum requirements: Qualifications and experience required: • A Bachelor’s degree (NQF 7) qualification in Education, Training and Development or Public Administration or Business Administration. • A recognised qualification in Quality Assurance Management or Occupationally Directed Education, Training and Development Practices (ODETDP) or Total Quality Management (TQM) qualification would be an added advantage. • Minimum of five (5) years of proven experience in the Education, Training and Development environment – preferably in accreditation, verification of learner’s achievement, assessment, and moderation. • Experience and knowledge in Education, Training and Development Quality Assurance (ETQA) processes. • Ability to interact at all levels, both internally and externally. • Ability to prioritise workloads. • Advanced computer literacy skills with MS Office packages and Information Management Systems (IMS). • Excellent report writing, administrative, presentation and communication skills. • A valid driver’s license is essential. Duties and Responsibilities: • Accredit service providers to ensure quality provision of learning and teaching interventions. • Develop, maintain and implement a capacity-building programme with respect to the accreditation of providers. • Monitor the progress of learner achievements in the provinces and make recommendations on improving quality to the Provincial Manager. • Register learners enrolled in learning programmes. • Check the validity of the registration of assessors and moderators. • Monitor the implementation of learnerships and skills programmes. • Identify, evaluate and register workplace learning sites. • Maintain a provincial database of all learnerships, skills programmes, interns, bursaries and workplace agreements. • Quality assure the provincial learner’s data against the actual documents. • Monitor the delivery of learning programmes on the project sites, quality of learning, evaluation of site delivery, reporting on findings and recommending interventions. • Provide prompt feedback to relevant stakeholders and effectively manage relations with stakeholders. • Prepare reports for both internal and external stakeholders/skills development providers. • Perform other general administrative duties relating to the provincial office as assigned by the Line Manager.
