EDUCATION, TRAINING AND DEVELOPMENT PRACTICES SECTOR EDUCATION TRAINING AUTHORITY (ETDP-SETA) The ETDP SETA seeks to appoint a suitably qualified and innovative incumbent with essential attributes and skills to assume responsibility as: HEAD OF DEPARTMENT – FACILITIES MANAGEMENT This is a re-advertisement. Salary: R869 199,84 per annum (Total Cost To Company) Job Purpose: The Head of Department: Facilities Management is responsible for the part of the workplace management team that directly manages the facilities. HoD: Facilities Management will be responsible for the security, maintenance and services of work facilities to ensure that the needs of the organisation and its employees are met. The candidate will also be responsible for developing strategic facility goals, monitoring space allocations, and providing efficient space use. The successful candidate will be based at the ETDP SETA’s Head Office in Johannesburg. The successful candidate must meet the following minimum requirements:
- Good interpersonal skills and ability to coordinate independent teams to ensure desired results are achieved
- Strong independent work ethic; - Excellent oral and written communication skills; - Ability to follow up diligently and resolve issues in a timely and effective manner; - A valid driver’s licence is essential. The HoD: Facilities Management will essentially look after all the services that help the business or organisation do its work. The successful candidate will be reporting to the Corporate Services Manager and will also develop strong relationships with other Business Units within the ETDP SETA.
Duties and Responsibilities: - Ensure the service, maintenance and repair of all air conditioning, plumbing, electrical and telephone systems; - Liaise with landlords regarding facility matters for which the landlords are responsible; - Develop and/or adhere to a maintenance and preventative maintenance programme on facilities; - Plan and execute physical changes and moves; - Monitor and supervise outsourced services such as cleaning and security; - Liaise with service providers for contracted services and drafting agreements; - Overseeing and agreeing contracts with providers for services including security, parking, cleaning, technology; - Ensure payments to contract service providers on a monthly basis; - Maintain files on service providers, work orders, leases, service level agreements, etc.; - Act timeously to internal staff requests relating to facility matters and matters relating to fixed assets; - Assist in the establishment and maintenance of policies and procedures for asset acquisition, recording, control and disposal; - Maintain and reconcile fixed assets records, and match to fixed asset inventory with all business units; - Co-ordinates and performs physical asset counting and observation, reconciling to records and attaching identification tags; - Determine useful lives and depreciation methods, maintain depreciation schedules updated as required; - Compile monthly and quarterly management reports on activities and assets; - Co-operate with internal and external auditors on issues relating to fixed assets; - Act timeously to internal staff requests relating to fixed asset matters; - Attend meetings of the committee e.g. Occupational Health and Safety Committee; - Participate in inspections of buildings and facilities; - Participate in creating procedures for use of the facilities, particularly in regard to emergencies; - Prepare budget for unit, manage and authorise expenditure within budget; - Prepare reconciliations and assist in preparing budget for department; - Managing Organisational Fleet; and - Drafting reports and making written recommendations. NB: The incumbents may be required to enter into a Performance Contract with the ETDP SETA.
