MEETING COORDINATION • Arrange meetings and appointments for the CEO. • Confirm dates of meetings with the CEO and attendees. • Diarise meeting dates and arrange venues and refreshments. • Prepare attendee packs for the CEO and file meeting packs for record purposes. • Send electronic packs to attendees for meetings. • Ensure delivery of packs to attendees prior to meetings. • Draw up meeting agendas by obtaining input on agenda items from attendees. • Take minutes during Executives meetings including all of the CEO’s internal meetings. • Develop and keep records of meeting minutes. • Draw and follow up on action lists. TRAVEL ADMINISTRATION • Confirm approval of travel requisition prior to employees’ scheduled travel. • Prepare itinerary to include travel details - dates and times of travel, maps/directions, address, phone number, e-mail, parking, names of people to meet for the CEO, and other Executives/employees travelling with the CEO. • Confirm travel schedules a few days prior to events. • Submit approved travel claims for payment. ADMINISTRATION • Respond to basic queries from external stakeholders on behalf of the CEO. • Take minutes at the CEO’s meetings and distribute to the relevant role players. • Type business letters, memoranda and general correspondence for both internal and external purposes. • Assist in conducting research and preparation of speeches/presentations for the CEO. • Assist in preparing and monitoring the budget for the CEO’s Office. • Ensure that effective and efficient administrative processes are in place in the CEO’s Office. • Review the electronic filing system on a regular basis. • Assist the CEO to monitor: ➢ delivery of key tasks ➢ implementation of resolutions from Council, Council Committees and EXCO meetings ➢ governance and compliance • Coordinate stationery requirements for the Unit. • Coordinate internal events for the Unit. • Assist with other administrative duties as and when required. JOB PURPOSE To provide an effective and efficient integrated Human Capital function to CBE, by carrying out best practices Human Capital function. KEY RESPONSIBILITIES: 1. ADMINISTRATIVE SUPPORT IN THE IMPLEMENTATION OF HUMAN CAPITAL STRATEGIES • Assist in advising the CBE with regards to actions that they need to take regarding Human Capital strategies on an annual or ad hoc basis. • Act as a consultant to them on an ongoing basis. • Assist in collecting feedback from line managers of other departments to ensure monitoring of the human capital strategy and its integration into the functions of the departments. • Assist with the problems that the departments experience with regards to the implementation and use of the human capital strategy, on an ad hoc basis. • Contribute to the formulation of policies and procedures in the organization, by developing new policies and procedures, and adapting old policies and procedures when such a need arises. 2. HC SUPPORT AND RECRUITMENT • Act as a Consultant to other departments with regards to HC issues to ensure an efficient HC support service: o Conduct regular meetings with the departments and be readily accessible to the departments.
3. JOB PURPOSE To ensure statutory and regulatory compliance of Council for the Built Environment (CBE) stakeholders and render general legal support within CBE. KEY RESPONSIBILITIES: 1. LEGAL COMPLIANCE • Monitors legislative developments that impact CBE. • Facilitates and execute joint investigating actions with other regulators. • Conduct investigations and report on the outcomes thereof within the statutory mandate of the CBE including non-compliance with legislation and best practice by professional councils. • Monitors and analyses complaints about matters related to the built environment. • Conducts research on legal issues. • Establishes an active platform for the discussion of the legislative developments and assesses the impact on CBE and the Built Environment. • Develops the regulatory framework and manages the following regulatory framework cycle • Formulates opinions and responds to legal questions. • Assesses new procedures in order to identify operational risks and proactively mitigate them. • Conducts legal compliance audits and report findings to Manager. • Monitors and reports on the timeous implementation of audit recommendations. • Ensures appeal guidelines and procedures are adhered to. • Upon requests mediates between stakeholders and councils on matters of corporate governance. • Facilitates Appeals Committee to expedite appeals and legal cases within its statutory time frames. • Assesses and reviews the Councils’ level of compliance with the Corporate governance Framework. • Assesses Councils’ compliance with the Public Finance Management Act (PFMA) where applicable. • Assesses Councils’ compliance with the Policy Framework and reports non-compliance to Department of Public Works. • Drafts relevant reports for the Ministry as and when required. 2.
