Broadband Infraco, is a long distance national and international optic fibre connectivity network infrastructure provider based in Radiokop, seeks to appoint a suitable candidate to the following employment opportunities: INTERNAL AND EXTERNAL JOB ADVERTISEMENT SPECIALIST: PROCUREMENT 3X (PERMANENT) Key Responsibilities: Reporting to the Manager: Performance and Planning, the incumbent will: • Organise and chair the BSC and BEC meeting. • Provide guidance and advice to the BSC and BEC. • Develop BAC and Tender Committee reports. • Evaluate Tenders/BIDS in line with legislation. Issue the RFP, RFI and RFT based on Total Cost of Ownership (TCO) and ensure compliance to SCM policy and legislation. • Procure goods and services for BBI at optimal cost. • Implement and follow up on strategic sourcing benefits. • Recommend suppliers based on the most optimal total cost and provide suppliers’ feedback. • Administer and ensure timeous payment of suppliers. • Conduct suppliers award contracts in accordance with sound procurement practices, policies including BBBEE. • Assist in the development and implementation of contracts and preparation and support project in supplier on-boarding. • Assist in the supplier negotiations, Generate and issue accurate contracts. • Assist in the implementation of BBBEE policy. • Assist in gathering BEE procurement spend. Assist in the activities to validate BBI BEE certificate. • Financial Management, strive to achieve cost reduction through hard negotiation and cost reduction techniques. • Ensure timely payments to suppliers. Qualification and Experience: • 3 years formal relevant tertiary qualification. • A commercial and or CIPS (Charted Institution of Purchasing & Supply) qualification would be added advantage. • 5 years’ experience in the Supply Chain Management environment, 3 of which should be at Specialist Level. • Specialist knowledge of procurement processes and procedures. Experience in Supplier Management, Presentation and Report writing. Assist Supply Chain Management staff with general office duties upon request. Coordinate and schedule meeting appointments as requested. Take minutes during departmental meetings. Assist with distribution / preparation of documents / correspondence. Management of business stationary. Stationary inventory usage control. Purchasing and maintenance of stationary stock level. Capture and update inventory list on pastel. Produce the monthly usage report for Finance manager. Report to internal and external customers enquiries. Travel and accommodations bookings for procurement department. Procurement Support Procure business cards for Business Units Personnel. Correspond with vendors regarding their database registration and any other procurement enquiries. Create Purchase Requisitions for Supply Chain Department. Request for quotations. Issue of purchase Orders and get Procurement manager to approve. Closing of tenders. Issue tender numbers sequentially. Record the tender status on the departmental board. Record contract and alert contract manager about the expiry date. Maintain contracts documentation, track and follow documentation through the contracting processes to ensure completion. Verify delivered goods according to Purchase Order. Contact vendors for any variations on goods delivered. Database Management and record Keeping Scan, load record contract files to Shared drive. Keep records and database updated on a regular basis and ensure system compliance and procurement policy is adhered to. File service’ Tax clearance certificate, RFQ files and contracts files as per check list. Send reminders to service provider to update their Tax clearance. Archive unsuccessful bids and old contract files. File the RFQ files and contracts files as per check list. Maintenance of vendor records. Review requisitions for completeness and accuracy, follow up on discrepancies with the initiating department and identify available suppliers for each requisition item. Maintenance of Supplier Database. Coordinate the accreditation process of service providers. Maintain procedures of monitoring database performance. Qualification and Experience: • Diploma in Administrative Management. • Must have at least 2 – 3 years administrative experience preferably in finance department. Knowledge of procurement processes and database management. • Computer literacy, Microsoft office suite – Intermediate. Broadband Infraco, is a long distance national and international optic fibre connectivity network infrastructure provider based in Radiokop, seeks to appoint a suitable candidate to the following employment opportunity: INTERNAL AND EXTERNAL JOB ADVERTISEMENT BUYER: PROCUREMENT (PERMANENT) Key Responsibilities: Reporting to the Manager: Performance and Planning, the incumbent will: • Liaise with the end user to ensure a clear understanding of the requirement/s. • Receive requisition (initiated by internal client) as allocated by Manager. • Ensure that requisitions are approved as per the delegation of authority. • Assist with the set-up of the Bid Specification committee, where required, and manage meetings to ensure specifications are timeously approved. • Draw up RFQ/ RFP documents to advertise timeously. • Arrange and conduct site visits or briefing sessions. • Receive quotations and check if compliant to the given specification or functionality. • Do a comparison schedule of quotations received & recommend supplier based on price, B-BBEE and turnaround time for approval per Delegation of authority. • Ensure that all goods and services for BBI are procured at optimal cost. • Issue approved Purchase Orders and confirm delivery dates. • Liaise with suppliers and relevant stakeholders within the business units. • Expedite on all PO’s issued as well as those that are long outstanding. • Support initiatives to increase spend on PDI’s. • Ensure that internal business units comply to the approved SCM Policies and Procedures. • Initiate tender process from receipt of request for goods or services to tender award (advertise, conduct briefing sessions, establish bid evaluation committee, compile evaluation reports for the bid adjudication committee and notify all bidders of award or regret as applicable). • Ensure compliance to PPPFA and relevant legislations. Qualification and Experience: • 3-year Diploma in Procurement or Supply Chain Management or equivalent. • A commercial and or CIPS (Charted Institution of Purchasing & Supply) qualification would be added advantage. • 3 years’ experience in the Supply Chain Management environment and understanding of tender processes. Broadband Infraco, is a long distance national and international optic fibre connectivity network infrastructure provider based in Radiokop, seeks to appoint a suitable candidate to the following employment opportunity: INTERNAL AND EXTERNAL JOB ADVERTISEMENT SPECIALIST: CONTRACTS (PERMANENT) Key Responsibilities: Reporting to the Manager: Performance and Planning, the incumbent will: • Compile the contract and ensure all requirements are meet and that value is gained. • Administer and manage the lifecycle of the contracts and alteration thereof. • Monitor contracts progress – checking and track the quality of service providers by both service provider and End-User. • Manage the administration and negotiation of renewal of all contracts and issue amendments to contracts where required. • Manage, review and update contract database. • Ensure the scanning, SharePoint storing, safe keeping, archiving of all contracts. • Recommend payments consistent with the contract terms. • Develop a timetable and start and end date for each performance component. • Monitor supplier activity on a specified frequency to identify problem areas. • Meet with the supplier/contractor on a regular basis to review progress, discussion problems and consider necessary changes. • Research change request submitted by contractor and evaluate the merit of changes by reviewing the contract, plans and specification and liaising with relevant stakeholders. • Review and investigate vendor dispute / rebates to determine validity and arrange payment as required. • Manage contract value and complexity. • Resolve contracts dispute in a timely manner. • Monitor contractor progress and performance to ensure goods and services conform to the contracts requirements. • Monitor contract expiry and inform end-users accordingly, Update contract status regularly. • Liaise with End-users to establish relationship. • Generate weekly, monthly and annual contracts report. • Calculate and document the contracts total cost, including any indirect cost allocation of the goods and services to be performed and Generate contracts activity report.
