The incumbent will report to the Floor Supervisor. Durban ICC SOC (Ltd) is the managing company for the Inkosi Albert Luthuli ICC Complex, which includes the International Convention Centre Durban (ICC), the ICC Exhibition Centre and the ICC Arena. The Durban ICC is one of the most advanced conference facilities in the world, having been voted Africa’s Leading Conference Centre by World Travel Awards for 18 years. FUNCTION COORDINATOR (TG 6) MIN R152 698.00 MAX R254 398.00 PER ANNUM INTERNAL AND EXTERNAL The organisation is calling for suitable candidates to apply for the position of Function Coordinator. The Function Coordinator will be responsible for performing tasks that are supporting live events at the Durban ICC. QUALIFICATIONS, EXPERIENCE & COMPETENCIES Minimum Qualifications NQF 4 certificate in Hospitality Management or Business Management Minimum of 2 – 3 years’ experience in the related field Competencies Team work Integrity Analysis and problem solving Judgement & decision making Information seeking/gathering Ability to work under pressure Planning, organising and prioritising Detail & quality focused Confidence in dealing with clients and service providers Excellent communication skills KEY PERFORMANCE / MAIN ACTIVITIES OF THIS ROLE Facilitate preparation in relation to events held at the Durban ICC. Participate and coordinate event set up. Complete pre event documentation. Obtain operation sheets for events. Ensure that all departments adhere to operational sheet. Engage with the Event Coordinator to receive information pertaining to the event. Confirm that all written and verbal function requirements are captured accurately. Communicate with internal and external service providers with regards to specific requirements of the function. Liaise with Event Coordinator for outstanding information of event. Coordinate and participate in event breakdown and turn-around. Compile event service report and submit to the Operations Manager. Prepare the event service report and submit to relevant departments and Management. Provide general administration such as signing of flexi staff time sheets. The Event Coordinator will be responsible for coordinating the project planning and control processes of various types of events held at the Durban ICC, whilst performing specific activities associated with the administration and provision of the event activities. Ensure that the project file is checked at handover phase to ascertain that information is accurate before contacting the client. Attend meetings with clients and key stakeholders to ensure that all information pertaining to the event is received and disseminated correctly. Arrange meetings with internal departments to confirm that client requirements and event deadline are adhered to. Capture and process Event requirements and orders on EBMS system. Conduct pre and post event briefings to establish success levels and client feedback. Maintain proper electronic and manual filing system for all documentation that pertains to the event. . Draft requests for quotations for outsourced services and sending RFQ’s to Supply Chain Management team to source quotations. Responsible for raising purchase requisitions and purchase orders on JDE system. Required to upsell Durban ICC services and or venues to the client and prepare necessary documentation for approval and sign off by the client. Collaborate and communicate with stakeholders, clients and suppliers as well as industry partners. Prepare international and national bids to ensure that sales targets and objectives are met. Expedite confirmation of proposals and contracts to facilitate closure of sale. Conduct site tours with potential clients, stakeholders, industry partners and government departments to promote the Durban ICC. Arrange meetings with new clients with a view of converting the events to a confirmed business for the Durban ICC. Prepare reports with statistical data outlining the status of proposals and or enquiries received from prospective clients. Maintain an updated database inclusive of follow ups and feedback from clients. . Research and investigate sales trends within the hospitality industry and develop sales strategies to retain existing and prospective clients. Contributing to creating a positive client experience with the Centre in alignment with the brand attributes of the organisation.
