Duties and responsibilities: Alumni Relations Engagement, Events and Project management • Coordinate and implement the institutional alumni engagement programme. • Create content for social media posts, alumni information updates, website articles and newsletter(s). • Support residence and faculty alumni communication plans. • Implement the alumni relations communication and engagement strategy. • Promote, build and monitor affinity amongst UFS alumni nationally and internationally. • Promote the benefits of good alumni relations among existing students and alumni. • Contribute to the management and maintenance of the UFS alumni database. • Coordinate general alumni communication and event management. • Coordinate and implement alumni-related project management. Customer Relationship Management, Data and Research • Send out Institutional Advancement mailshots and communication. • Send out communication on behalf of various UFS Faculties, Departments and Convocation. • Update alumni records and interactions on Devman. • Issue invitations for events, extract and compile guest lists from Devman for such events and update attendance/engagement interactions after said events. • Conduct training and engage with the Devman development team for support. • Consolidate costs associated with mailshots/communication for various UFS Faculties, Departments and Convocation. Website, Emails and Social Media platforms • Update Alumni Relations content on the UFS website and Institutional Advancement social media platforms. • Undergo regular website training with ICT to ensure alignment with UFS protocols and updates. • Undergo regular branding training with DCM to ensure alignment with UFS corporate identity and brand narrative. • Undergo regular alumni engagement platform training with the developer to ensure alignment with UFS’s corporate identity and brand narrative. • Represent Institutional Advancement in the UFS POPIA Committee (and various committees aligned with this role) to ensure awareness of and adherence to such protocols as applicable. • Work in close collaboration with ICT, DCM, UFS POPIA committee and relevant service providers to ensure that Institutional Advancement CRM, website and social media platforms are regularly updated and aligned with the prescribed UFS policies and protocols. Inherent Job Requirements: • A Bachelor of Arts or equivalent qualification on NQF Level 7 in Public Relations/Public Administration/ Governance and Transformation/Journalism/Marketing/Communication. • A minimum of two (2) years’ experience in stakeholder engagement, communication, marketing, and/or alumni relations. • A valid driver’s licence. • Willing to travel and work outside of traditional working hours as required. • Submission of a portfolio of evidence to demonstrate experience in stakeholder engagement, events and/or communications project management (kindly attach).
