Duties: * Achievement of work plans: * Develop policies, processes and standard operating procedures relating to own area of specialization * Provide specialist input in the development of Operational Plans and Organisational Strategy * Execute work plans and drive the evidence collection in real time * Produce reports against the implementation of work plans * Respond to audit findings with complete evidence, on time * Implement documented data management practices * Comply to policies and procedures in the unit * Manage facilities on behalf of RTIA: * Implement the OHS Act in its entirety * Facilitate the implementation of Facilities Regulations as per the stipulations of section 43 of the OHS Act, 1993 * Ensure proper management of Electrical Installations Regulations as per section 35 of the OHS Act, 1993 * Develop office systems and oversee the procurement thereof * Manage the minimum of 200 SMME’s office infrastructure provided by RTIA * Oversee the effective maintenance of RTIA building at all times * Manage the availability of stocks relating, furniture, acquisition, protective clothing, to general beverages e.g. coffee, tea, milk, sugar, etc. as well as cleaning equipment e.g. washing cloths, dusters, polish, etc. * Oversee that all RTIA meeting events are catered for * Manage parking arrangements, and procedures for boardroom booking * Oversee postal services, franking, deliveries * Direct the effective management of the lease agreement * Manage access to facilities to all RTIA employees and stakeholders * Monitor service delivery by service providers to ensure superior quality and that it addresses the needs of the Agency * Review reports and take necessary actions; and * Manage the availability of driver services for RTIA staff * Manage Security services for the Agency: * Manage the implementation of security plans for RTIA * Oversee the development and implementation of security policies and procedures for RTIA in line with applicable legislation and regulations * Implement the National and Local guidelines with regard to emergency and security * Manage the implementation of all general safety regulations and measures, such as first aid kits, fire extinguishers, emergency requirements, use of flammable liquids, etc. * Ensure compliance with Major Hazard Installation Regulations where applicable * Oversee that all essential safety telephone numbers are displayed and readily accessible as well as substituted notices and signs * Manage and oversee security operations and security service providers on behalf of RTIA * Oversee the implementation of safety features and ensure that safety warnings are always displayed where necessary * Ensure that the RTIA building is in line with the requirements of the Occupational Health and Safety Act * Oversee that all accidents and incidents are investigated; and incidents, and recommend safety improvements when necessary * Conduct periodic security risk assessments and Monitor and report on any safety hazards and liaise with local law enforcement to assist investigations of accidents, thefts, and property loss * Provision of administrative services for RTIA: * Oversee the management and establishment of clerical and secretarial functions for RTIA * Manage the implementation and maintenance of document management system for RTIA * Design and direct the implementation of a filing systems for RTIA and ensure that the systems are up to date * Define and manage the implementation policies and procedures for record keeping * Manage the implementation of an effective records management system for RTIA * Control the protection and security of files and records * Direct the transfer and disposal of records is according to recording keeping schedules and policies * Oversee personnel files are secured * Monitor compliance to records keeping guidelines and legislatory frameworks * Oversee the management of all correspondence * Control the provision and allocation of administrative functions to the RTIA and all other Divisions and Committees * Direct the effective management of the reception area and services for RTIA * Oversee that staff and visitors are well catered for e.g. timeous serving of refreshments and beverages * Oversee that the reception area is manned at all times during office hours * Oversee the management of the distribution of mail, faxing, binding, copying, etc. according to service level agreements for RTIA * Direct the provision of relevant auxiliary services on behalf of RTIA * Oversee that outgoing material is dispatched on time.
