GAUTENG GROWTH AND DEVELOPMENT AGENCY (GGDA) CALL FOR APPLICATIONS: SENIOR MANAGER: OFFICE AND FACILITIES MANAGEMENT FOR GAUTENG GROWTH AND DEVELOPMENT AGENCY (GGDA) (5 YEAR FIXED TERM CONTRACT WITH THREE MONTHS’ PROBATION, GRADE D4, SALARY R607 441.08 TOTAL COST OF EMPLOYMENT)
The successful incumbent will be reporting to the Group Executive: Corporate Services and he/she will be expected to execute the following tasks: Job purpose To interpret and implement operations strategies to manage the physical environment of the GGDA. Responsibilities • Develop standards and monitoring mechanisms for workplace management. • Ensure availability of relevant policies and contracts to administer logistics and maintenance. • Coordinate and manage internal hospitality activities and events. • Supervise and manage secretarial functions. • Design and implement office policies. • Establish standards and procedures for records keeping and administration. • Coordinate all activities associated to the implementation of OHASA requirements. • Supervise and manage the reception, the driving, hospitality and facilities management staff. • Supervise and manage the document and management staff. • Manage the facilities of GGDA Holdings • Develop Emergency Evacuation Plan and procedures • Manage and maintain Office equipment and furniture as part of Asset Management • Manage the implementation of the Cell phone and remote connectivity policy • Manage and maintain assets as set out by the Cell phone policy • Control invoices against contracts and ensure approvals are effected timeously. • Budget planning, review monitoring of Cost against budget • Maintain external relationships with service providers and suppliers, and external consultants on specific projects. • Manage SLA’s and review process with SCM • Provide input in the development of internal control policies, processes and procedures in line with any relevant legislation and best practices. • Ensure that compliance requirements have been built into policies and procedures of GGDA as well as into the manuals of GGDA where required. • Monitor and establish a culture that contributes to the overall objective of prudent risk management throughout GGDA. • Ensure that all operational activities of the division are conducted in accordance with the PFMA, relevant regulations, the GGDA’s Code of Business Conduct and Ethics, sound business practices, and the other policies and practices approved by the Board. • Establish effective control and coordination mechanisms for all operations and activities of the division and take reasonable steps to ensure the integrity of the internal control and management information systems. • Foster a high-performance corporate culture that promotes ethical practices and encourages individual integrity, accountability, and social responsibility. • Facilitate resource availability through effective procurement processes. • Comply with organisation and divisional reporting requirements. As minimum applicants, should have the following requirements: • Post Matric Diploma in Related Technical Qualification • 5 years’ experience in administration 3 of which should be office facilities supervisory role. • Planning, co-ordination and organizing skills. Ability to establish a course of action for one self and other to achieve specific goals, planning proper allocation and deployment of resource • Excellent inter-personal skills at all levels. • Good oral and written communication skills. Ability to structure communication in a logical, clear and concise way • Ability to attend to detail. • Computer literacy. • Work well under pressure and impending deadlines. • Ability to prioritize tasks. • Basic bookkeeping for budgetary control.
