EDUCATION, TRAINING AND DEVELOPMENT PRACTICES SECTOR EDUCATION TRAINING AUTHORITY (ETDP-SETA) The ETDP SETA is looking for a suitably qualified and experienced ETQDA Officer and Receptionist and Switchboard Operator to join our dynamic team in Provincial Offices:
•Possession of the following unit standards: SAQA 115753 and SAQA 115759 will serve as an added advantage •At least 4 years proven experience in the Education, Training and Development environment preferably in quality assurance, verification of learner's achievement, assessment and moderation •Advanced computer literacy with MS Office packages and Management Information System (MIS) skills •A valid driver's licence.
Knowledge and Skills Required: •Knowledge and experience of Skills Development legislation, including SAQA framework, policies and regulations, Quality Assurance imperatives, National Qualifications Framework, learnership registrations and skills programmes packaging and recording •Knowledge of QCTO functions and processes •Knowledge of tools, concepts and methodologies of Quality Assurance •Ability to plan and organise work and to work on own initiative. PROVINCIAL RECEPTIONIST AND SWITCHBOARD OPERATOR KWAZULU-NATAL (REF.: 27310/01) Salary: R144 158.73 - R172 225.75 per annum (Total Cost to Company) Job Purpose: Under the Provincial Manager supervision and as the first point of contact with the Provincial office, the incumbent will add value by ensuring that all visitors and callers are courteously, professionally and efficiently attended to as per the ETDP SETA requirements and policies. Provide information to callers or transfer calls to appropriate offices; perform clerical and other related duties as required. The successful applicant will be based at the ETDP SETA Office located in Durban (KZN): Minimum Requirements: •A Grade 12 Certificate •Training in switchboard operation •Minimum of 3 years Receptionist and/or Switchboard Operator experience •Computer literacy, especially MS Office Suite packages •Proven telephone etiquette and problem-solving skills •Oral and written communication skills •Ability to work under pressure and think pro-actively where required •High level of personal planning and organising skills • Ability to exchange information in a polite and helpful manner and must have a passion for customer service excellence •Good interpersonal relations. Key Responsibilities: •Responsible for managing the Switchboard and to answer all incoming telephone calls, dealing with enquiries and where possible redirecting clients to relevant persons •Ensure to always welcome and greet guests/clients in a friendly, polite and professional manner •Redirect all queries and complaints to the Provincial Manager •Provide efficient (ensure receipt by the person who was called) and thorough message taking and distribution thereof to relevant persons • Ensure at all times whilst on duty, the neatness and tidiness of the entrance, reception and boardroom areas • Assist with welcoming of attendees for relevant functions/events and direct them to appropriate venues • Effectively manage the reception of clients • Create systems of recording and report on queries • Provide general information and manage internal and external calls •Receive walk-in visitors and clients and deal with their requirements expeditiously • Administration of incoming and outgoing courier and keep documents/parcels for collection and delivery • Answer face-to-face enquiries and provide information when required • Perform other administration functions as and when called upon to do so.
